Overview

The Full Time Administrative Assistant provides administrative support to a department and / or corporate functions. This position requires effective communication skills and confidentiality.

Ensure a smooth and expedited execution of all administrative details.

Applicants must have excellent MS Office(Excel) skills

This is a Hybrid position(two days in the North Wales office / three days work from home)

Responsibilities

  • Supports the department by coordinating appointments, meetings, lunches, and travel arrangements as needed.
  • Answer incoming phone traffic and office voicemail.
  • Processes daily mail by coordinating ingoing / outgoing and drop off / pick up time sensitive materials.
  • Maintains orderly records and files by creating organized filing system.
  • Maintains office supplies including copy and fax equipment, FedEx and miscellaneous office equipment by ordering and tracking as needed.
  • Contributes to team effort by assisting in special projects as needed and providing administrative assistance to other functional areas.
  • Processes incentives and orders in SAP.
  • Reconcile discrepancies in SAP on orders.
  • Enter pricing for the Division
  • Process chargebacks
  • Share pricing changes and updates with Sales Force
  • Report pricing to
  • Other clerical work in SAP as needed.
  • Other duties, as assigned by the jobholder’s supervisor, may also be required.

Qualifications

  • Bachelor’s degree in related field and / or equivalent training and work experience
  • Minimum of 1 year of experience in an administrative position with similar responsibilities
  • Proficient PC skills using MS Office and other various computer programs including presentation software
  • Must be a results-oriented professional with verbal / written communication skills using diplomacy and discretion as well as customer service skills
  • Ability to multi-task, work independently and / or within a team, pay attention to detail and meet deadlines
  • Analytic and Reporting skills
  • Utilize sound judgement and problem-solving skills
  • Ability to work in fast-paced, high-volume, team environment

Preferred Qualifications :

  • Skills using various computer systems including SAP and Workday
  • Excellent typing and / or work processing skills and transcribing

Physical Requirements :

While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone

Competencies :

  • Accountable for meeting own targets, work is reviewed periodically.
  • Problems encountered will be defined, repetitive, and routine with a solution readily available.
