Overview
The Full Time Administrative Assistant provides administrative support to a department and / or corporate functions. This position requires effective communication skills and confidentiality.
Ensure a smooth and expedited execution of all administrative details.
Applicants must have excellent MS Office(Excel) skills
This is a Hybrid position(two days in the North Wales office / three days work from home)
Responsibilities
- Supports the department by coordinating appointments, meetings, lunches, and travel arrangements as needed.
- Answer incoming phone traffic and office voicemail.
- Processes daily mail by coordinating ingoing / outgoing and drop off / pick up time sensitive materials.
- Maintains orderly records and files by creating organized filing system.
- Maintains office supplies including copy and fax equipment, FedEx and miscellaneous office equipment by ordering and tracking as needed.
- Contributes to team effort by assisting in special projects as needed and providing administrative assistance to other functional areas.
- Processes incentives and orders in SAP.
- Reconcile discrepancies in SAP on orders.
- Enter pricing for the Division
- Process chargebacks
- Share pricing changes and updates with Sales Force
- Report pricing to
- Other clerical work in SAP as needed.
- Other duties, as assigned by the jobholder’s supervisor, may also be required.
Qualifications
- Bachelor’s degree in related field and / or equivalent training and work experience
- Minimum of 1 year of experience in an administrative position with similar responsibilities
- Proficient PC skills using MS Office and other various computer programs including presentation software
- Must be a results-oriented professional with verbal / written communication skills using diplomacy and discretion as well as customer service skills
- Ability to multi-task, work independently and / or within a team, pay attention to detail and meet deadlines
- Analytic and Reporting skills
- Utilize sound judgement and problem-solving skills
- Ability to work in fast-paced, high-volume, team environment
Preferred Qualifications :
- Skills using various computer systems including SAP and Workday
- Excellent typing and / or work processing skills and transcribing
Physical Requirements :
While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone
Competencies :
- Accountable for meeting own targets, work is reviewed periodically.
- Problems encountered will be defined, repetitive, and routine with a solution readily available.
