Job Title : Assistant Project Specialist
We are seeking a dedicated and dynamic Assistant Project Specialist to join our team. This role offers an exciting opportunity to contribute to the successful execution of various projects, working closely with both internal and external stakeholders
Job Responsibilities :
- Collaborate effectively with project leaders within and outside the organization to ensure the successful completion of projects and associated milestones
- Maintain regular communication with project teams, client representatives, vendors, suppliers, and subcontractors to ensure smooth project development and execution
- Assist in the identification, monitoring, and analysis of key project needs, deliverables, and milestones, ensuring that all project objectives are met in a timely manner
- Verify the accuracy and compliance of bills / invoices, trip tickets, and expense reports with project requirements, ensuring financial accuracy and accountability
- Assist with data entry related to projects, including processing project change orders, entering changes to cost reports, and overseeing the accounts payable process
- Assist with the creation of new projects using construction management software, providing daily reports and other workflows to project and management leadership
Skills Required :
- A Bachelor's Degree in business, accounting, communications, construction management or a related field, or equivalent experience
- Experience with one or more cost management systems is preferred
- The ability to work independently, think creatively and analytically, and make quick and sound decisions
- Strong problem-solving skills, organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously
- Demonstrated ability to communicate effectively with all levels within an organization
- Proficiency in Microsoft Word, Excel, Adobe and / or Bluebeam, and PowerPoint is required
- Basic knowledge of Sharepoint, customer relationship management software, and Microsoft Teams is preferred
