- Based in California, the Litigation E-filing Specialist is responsible for the daily activities in a Managing Attorney’s Office, including the filing, service and retrieval of court documents;
- maintaining and updating all related databases; processing incoming court documents, checking dockets for updates, docketing / calendaring and running reports;
communicating with court personnel and attorneys regarding proper filing procedures.
This role reports to the CA Managing Attorney.
The hours for this role are 3 : 45 PM 12 : 00 AM. Flexibility to work these hours a few days a week as required.
Responsibilities include :
- Provide support to litigation attorneys, including research, retrieval of documents and service of process;
- Perform electronic court filings for state, federal district and appellate courts;
- Screen and review incoming and outgoing court documents and ensure compliance with court rules and procedures;
- Track critical dates and related details and communicate information with attorneys, paralegals and / or staff, as necessary;
- Search cases using software and internet resources as necessary;
- Assist with other administrative projects or provide other general back-up support as necessary;
- Review court filings and enter calendar deadlines in centralized docketing software such as CourtAlert (preferred but not necessary).
Qualifications
- An understanding of court docketing and calendaring procedures and familiarity with court filings and general rules of court for processing pleadings.
- Excellent organizational skills and exceptional attention to detail.
- Proficient in Microsoft Office and experience with rules-based calendaring software (e.g. CourtAlert, CompuLaw, MA3000, et al.) desirable.
- Experience with federal, state and local court systems, including electronic filing systems (i.e. NexGen, PACER, et al.).
- General level of knowledge of court rules and procedures in California state and federal courts.
- The position involves significant contact with lawyers, court and clerical staff. This requires solid interpersonal, verbal and written communication skills.
- Must be a self-starter, highly organized and a team player.
- Must be flexible in order to respond quickly and positively to shifting demands and able to work under tight deadlines.
- Able to plan, organize and complete multiple related activities.
- Must deliver high quality work product and have the ability to follow up and follow through.
- Must possess the ability to work independently, as well as on a team, in a fast-paced environment.
Experience
- Minimum of three (3) years of prior experience in litigation docketing desired.
- Experience working in a large law firm highly desired.
