Description :
Promotes Johnson & Johnson’s corporate image by representing the Executive team internally and externally; Enhances executive’s effectiveness by providing information, management support, and representing the executive to others.
Job Responsibilities :
- Represents the Executive team.
- Maintains customer confidence and protects operations by keeping information confidential.
- Focuses on both daily and longer-range calendar for multiple leaders and teams. Manages leader's personal calendar as directed.
- Conserves executive’s time by organizing, researching, and routing large volumes of information. Responds to meeting requests, mail, phone calls, and other telecommunication directed to Executive team to determine level of priority, and field / answer questions.
- Creates, develops, and completes general correspondences, spreadsheets, memos, tables, graphs, business plans, visual presentations etc.
for the Executive Team.
- Completes brokerage applications / questionnaires and contract related documents. Receives and maintains company and individual licenses in imaging system.
- Assist in the management of the Executive team’s schedule by arranging department activities, company dinners, and other corporate functions.
Organizes corporate travel, lodging, and meeting accommodations with itineraries and agendas for the Executives and their families, and Senior Management Team.
- Acts as a project manager by working independently and within a team for J&J weekly action commitments, and as needed at the request of the Officers and Senior Management.
- Attends, records, and distributes minutes of the Leadership Team Meetings and other meeting upon request.
- Any other duties as assigned, such as personal matters for the Executive team including personal errands.
- Be able to act as a travel agent for the Executive team.
- Must be able to travel as needed.
- Must have the flexibility to work odd hours including weekends as needed.
- Must maintain confidentiality at all times.
Education and Work Experience :
- College degree or any combination of education and experience to perform the duties of the position satisfactorily.
- Three years of administrative, customer service or any combination of education and experience to perform the duties of the position satisfactorily.
Knowledge Skills & Abilities :
- Must have high level of interpersonal skills to handle sensitive and confidential situations.
- Position continually requires demonstrated poise, tact, and diplomacy.
- Must be able to interact and communicate with individuals at all levels of the organization.
- Must have knowledge of a variety of computer software applications in word processing, Excel spreadsheets, database and presentation software (MSWord, Outlook, PowerPoint, Visio, MS Projects, Adobe Suite).
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Typical Physical Demands :
Requires the ability to sit or stand for long periods of time, occasional stooping, and reaching; May require lifting-up to 25 pounds;
requires normal range of vision and hearing with or without accommodations.
