Overview : The Occupancy Specialist interacts directly with prospective and current residents to achieve maximum occupancy.
Acts as the Company’s representative by conveying the benefits of the community. Responsible for the leasing process from introduction to the actual occupancy of the resident.
Sells features and benefits of apartment living to prospective and current residents. Achieves and maintains occupancy goals.
Responsibilities :
- Builds relationships with prospective and current residents and coordinates all phases of the leasing process : intakes, interviews, processing, preparation, and distribution of applications.
- Accurately tracking NYCHA subsidy and Annual Recertification status on a rolling basis to be submitted to the Director Occupancy
- Scheduling residents for recertification appointments at the 812 Ashford Street office
- Keeping an accurate record of pending certifications, outstanding backup documents or forms and following up with residents until certifications are complete
- Informing the Legal Manager and General Management team regarding uncooperative residents who refuse to recertify or are ignoring outreach efforts
- Train residents on how to complete their certification directly through NYCHA’s portal, lessening the need for BTM staff involvement in the future
- Maintaining an accurate list / tracker of available units categorized as ready or unready based on information received from the development team or general property management team, including bedroom size
- On a rolling basis, send NYCHA Leased Housing a list of ready and available units, including bedroom size
- Review applicant lists received from NYCHA Leased Housing for viability and accurate HH composition data, with special attention paid to screening stale or very old applications for accuracy
- Reach out to applicants and schedule appointments for them to bring documents and sign paperwork per the checklist provided by NYCHA Leased Housing
- Screen applicants for income eligibility per limits provided by NYCHA Leased Housing
- Submit qualifying application to NYCHA Leased Housing, following up regularly
- For approved applications, coordinate with HQS group on pre inspections ahead of NYCHA Section 8 HQS inspections
- Coordinate move ins with the incoming resident and BTM
- Work with the Director of Occupancy, the Occupancy Manager and accounting to ensure that renewal leases are sent in a timely manner and that rental increases are accurately added to the Yardi system
- Periodically request updated rightsizing lists from NYCHA’s Section 8 team
- Coordinate with the facilities group and general property management group, the development team’s relocation managers and SAV on preparing the resident to be moved
- Ensuring that the resident accounts in Yardi accurately reflect relocation status.
- Works patiently, professionally, and cooperatively with residents and staff to provide high quality customer service.
- Enforces and adheres to company policies, rules, and regulations.
Requirements :
- Associates degree or equivalent work experience required.
- Two years in NYC Property Management, sales / leasing experience desirable.
- Experience in HUD Guidelines, NYCHA Leased Housing, Project Based Section 8, PACT, Section 18, Tenant Based Vouchers.
- Strong math skills and attention to detail required.
- Knowledge of subsidy regulations.
- Proficient in Microsoft Office and Excel.
- Highly motivated and able to work independently.
- Ability to handle resident or building emergency situations if needed. Excellent organizational and proofreading.
