Job Summary
The Document Control Analyst provides technical support to the manufacturing areas and product standard work activities and establishes performance standards, procedures, and audit controls in order to meet business requirements.
This position identifies and implements process improvements to increase the efficiency, effectiveness, and quality of company ERP system.
The Document Control Analyst administers document and record control operations and procedures for the secure management and access to supply chain information and supports production programs by managing workflows and information.
The Document Control Analyst performs auditing, monitoring, project management of limited complexity, and develops change controls to evaluate production and supply chain activities from conception through obsolescence, provides vendor relationship support through accurate recordkeeping and retention, and ensures compliance with applicable regulations and company policies.
Essential Job Functions
- Analyzes and interprets the significance of the proposed changes using independent judgment to guide change initiators in the development of accurate change requests.
- Reviews standard operating procedures, creates new or augments and updates current logs, forms, manufacturing records, work instructions and all other quality records for adherence to established templates, good documentation practices, and adequacy of referenced procedures and part numbers.
- Communicates issues effectively and partners with cross-functional associates to meet compliance requirements.
- Analyzes, processes and tracks change order submissions to minimize processing time between submission and implementation.
Responsible for ensuring that change orders are completed and closed properly and in a timely manner.
- Demonstrates commitment to the development, implementation, and effectiveness of key controlled document updates and provides administrative and clerical support for the change management process
- Receives, classifies, files, audits, tracks, and maintains centralized documentation archiving system for hard copy documents on the floor.
- Creates and releases part numbers and bills of materials (BOMs).
- Independently analyzes document management processes and provides recommendations for improvement.
- Run reports on historical data and uses information obtained to support periodic document review procedures and audits.
- Functions as the document control administrator and prepares documents for release to production teams, ensures timely responses to issues communicated, and releases standardized work documents and forms.
- Prepares documents for release to production teams and ensures that all documents have no errors in filenames or submissions.
- Manages and organizes documentation projects and priorities, solves problems that impact progress, and provides detailed information to cross functional teams.
- Collaboratively communicates documentation and records requirements between production operations, Supply Chain, and Engineering to facilitate compliance to applicable standards.
- Supports the quality management documentation and records systems through the production lifecycle.
- Creates and releases documents based on input from quality and compliance teams to support new product introduction, production product releases, and other submissions.
- Ensures documentation and data related to the requirements of the supply chain / materials management process are controlled in a manner which ensures integrity and accessibility.
- Ensures document control activities such as document management, version control, distribution and reporting management are executed in a timely fashion and in accordance with procedural requirements.
- Implements best practices for documenting and streamlining change cycles and effectively follows the company’s procedures in submissions of documents.

Education & Experience
- Associate’s degree in Business Administration, Computer Science, or a related field is required
- Bachelor’s degree in Business Administration, Computer Science, or a related field is a plus
- 3+ years of experience in performing document control functions in a contract manufacturing environment and / or Engineering environment
- 2+ years of experience working in an ERP system

- Relatively high level of analytical ability where problems are complex
- Good attention to detail, hands-on, ability to multitask, and ability to remain calm in a rapidly changing environment
- Knowledge of filing systems, document control procedures, and records retention
- Proficient typing skills
- Working knowledge of ISO Standardized Work, Continuous Improvement and 5S principles is a plus

Work Environment
Duties will be performed on a computer terminal. Exposure to manufacturing conditions, noise, heat, cold, dust / dirt etc.
Work may involve reviewing, checking processes and instruments in a manufacturing environment.
Physical Demands
May stand, bend, stretch up to 12 hours per day. Must be able to lift up to 40 lbs. as needed.
