Purpose of Position

Provide leadership and supervision to both in-house and contract resources in planning, budgeting, and implementing landscape, waste, recycling and auto shop, maintenance, development, and capital renewal programs under the division of University Operations at Santa Clara University.

Direct Supervisory Responsibility

The Team is composed of 20 union crew members in 3 crews; three Landscape Technicians, thirteen Gardeners, one Auto Shop Mechanic, two Recycle / Waste Removal Technicians, and one Recycle / Waste Removal Specialist.

These employees, as a condition of employment, are members of the Service Employees International Union, AFL-CIO, Local 2007 bargaining unit.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Landscape Maintenance

  • Supervise, direct, and control the day-to-day maintenance and repair work of department and contractor maintenance and repair personnel.
  • Assure that work conditions are always safe and conducive to efficient operations.
  • Maintain a weekly routine for landscape services to ensure work balance and quality control in all areas
  • Establish and conduct a preventive maintenance program for irrigation systems, landscape equipment, and tools that focuses on cost-effective, proactive initiatives that reduce or eliminate costly reactive responses
  • Manage the campus recycled water program and be a conduit of information to other Operations groups to ensure compliance with the system
  • Maintain the campus tree inventory to support maintenance schedules, additions, and replacements across campus
  • Manage capital-funded projects relevant to landscape maintenance and repairs
  • Evaluate the campus landscape and look for ways to improve upon the maintenance in an ever-changing exterior environment

Waste and Recycling Services

  • Establish and manage the daily routine for waste and recycling services across campus
  • Support contracted e-waste, metal, and other specialty waste and recycle services as the needs arise
  • Manage preventive maintenance, additions, and upgrades to waste and recycling equipment
  • Collaborate with the Center for Sustainability to work towards the University goal of a zero-waste campus
  • Adjustment of services and schedules based on the seasonal needs of the University

Auto Shop

  • Responsible for University Operations fleet vehicles including all trucks, carts, and electric vehicles
  • Manage services to fleet vehicles owned by other campus entities
  • Support the ongoing maintenance and compliance of the underground tanks providing gas for University vehicles
  • Create a replacement plan for vehicle upgrades or replacement
  • Support the Auto Mechanics preventive maintenance schedule to limit catastrophic failures leading to expensive repairs or replacements

General Responsibilities

  • Responsible for on-the-job training, orientation, proper use of tools, equipment, vehicles, and materials and compliance of safety and health regulations for all branch personnel.
  • Become thoroughly familiar with University and departmental policies and procedures, and ensure that they are carried out in a timely manner
  • Ensure handicapped codes and standard building practices are maintained. Additionally, become thoroughly familiar with the bargaining agreement between the University and union.

Compliance with all articles of agreement by both parties is required.

  • Consult with Associate Director of Facilities Operations to establish facilities maintenance budget and assure adequate control of expenditures.
  • Recruit and manage contractor support when in-house workforce capability or expertise is unable to meet mission requirements.

OTHER DUTIES AND RESPONSIBILITIES

  • Responsible for establishing work uniformity and compliance with established performance standards to ensure sustained acceptable quality, quantity, and timeliness of completed work.
  • Provide training opportunities and encourage the development of skills and abilities of the crews in performing their mission.
  • After-Hours Duty Officer - Perform the duties and responsibilities of After Hours Duty Officer in conjunction with the After Hours Duty Mechanic .

These duties and responsibilities require the duty officer to be on call (reachable by telephone) from 1630 hours until 0700 Monday through Friday and around the clock on Saturday, Sunday, and Holidays to respond to calls from Campus Safety Service dispatcher and or housing representative concerning campus facilities emergency / urgent situation (i.

e. toilet / urinal malfunction, broken access door that cannot be secured, broken window, etc).

Perform all other duties as assigned by the Associate Director of Facilities Operations

QUALIFICATIONS / REQUIREMENTS

Education

  • Bachelor's degree or equivalent combination of experience and / or education required.
  • Possess training skills in the use of tools and equipment.
  • Course work or work experience in supervision and human relations training is required.

Experience

  • 6-8 years of related experience in landscape maintenance with extensive planning, design, construction and maintenance knowledge required.
  • Progressive supervisory responsibilities, preferably of crews in the trades.
  • Must possess a Qualified Applicators License or Certificate or be willing to obtain within the first year of employment.

Knowledge

Supervisory principles and practices.

Ability

  • Proficient in planning, organizing, controlling, and directing all aspects of the maintenance and repair functions for all University landscape and hardscape areas.
  • Experience in mechanical repairs to vehicles or equipment preferred
  • Effectively communicate with all levels of University customers from students to administration in a clear, and professional manner
  • Work independently with minimal supervision.
  • Must possess excellent interpersonal skills and, ability to work within a diverse multicultural environment.
  • Understanding and appreciation for the vision and values upon which Santa Clara University was founded and by which it strives to operate.
  • Ability to support the mission and goals of the University.
  • Demonstrated ability to work collaboratively with other campus organizations.

Skills

  • Possess good oral and written communications skills and the ability to express ideas effectively and concisely with internal and external contacts : Vice Presidents, Clergy, Deans, Directors, Faculty, Staff, Students, commercial contractors, vendors, local governmental officials (South Bay Water Recycling and City of Santa Clara)
  • Intermediate computer skills are essential.
  • Familiarity with Microsoft Office Suite and Google Apps
  • Must be willing and able to learn new computer skills such as AiM (intelligence in Asset Management).

  • Solid judgment, initiative, and creativity are constantly needed to effectively and efficiently manage the duties and responsibilities listed above
  • Leadership ability is paramount in being an effective supervisor to a diverse group of employees
  • Organization and coordination are required to handle the diversity of tasks and needs in regards to the University Community.
  • Constant control must be exercised to keep within time schedules and eliminate waste of materials and labor.
  • Coordinate the use of other crafts frequently needed to maintain, repair or accomplish minor construction activities.
