Accounts Payable Specialist

We are seeking a detail-oriented and highly organized Accounts Payable Specialist to join our Accounting team. This role is critical in ensuring the accurate and timely processing of invoices, statements, credits, and payments to both internal and external parties. The ideal candidate will thrive in a fast-paced environment, maintain precision under tight deadlines, and be comfortable collaborating across departments while leveraging technology and accounting systems.

What You Will Do

Collaborate closely with internal clients - including accounting team members, project accountants, and leadership.

Enter and report daily cash received via ACH, wires, and live checks, including adjustments.

Accurately code and enter vendor and consultant invoices into Deltek Vantagepoint.

Resolve invoice discrepancies and respond to vendor inquiries.

Review and reconcile Open AP Vouchers.

Process payments through checks, wires, and ACH.

Audit employee expense reports weekly to ensure compliance with company policies.

Manage expense reports in Deltek Vantagepoint, ensuring reimbursement within 14 days of submission.

Support employee inquiries regarding expenses and advances.

Oversee corporate credit card payments and reconciliation.

Assist with the completion of 1099 reporting.

Manage new vendor setup and verification, ensuring proper documentation.

Administer sales and use tax reporting, including auditing expenses.

Partner with Project Accountants to enter bad debt transactions.

Identify and resolve short and overpayments.

Review AR aging reports weekly to reconcile balances.

Open and distribute daily mail for accounting.

Provide reporting and assist with special projects as needed.

What We Look For

Minimum 2-3 years of accounts payable or general accounting experience.

Proficiency in MS Office (Excel, Word, Outlook).

Experience with Deltek Vantagepoint or similar accounting software preferred.

Working knowledge of GAAP principles.

Strong attention to detail, organization, and accuracy.

Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Excellent communication and problem-solving skills.

Commitment to confidentiality and discretion with financial information.
