Job Summary

Coordinates financial support services in a school or central office. Performs and / or oversees a variety of clerical, bookkeeping, and record keeping tasks in support of the financial operations of the work location.

Prepares financial reports, reconciliations, spreadsheets and other documents on the computer as well as assist with the maintenance of personal property inventory records and purchasing needs.

Manages student activity funds including writing checks and performing bank reconciliations. Maintains detailed financial records and reports for multiple accounts including the operating budget, categorical budgets and other funds.

Performs duties and responsibilities using the District’s ERP Finance System.

Essential Functions

  • Monitors school’s operating budget and all other budgets for the assigned location, including grants, special funds and student activity funds.
  • Accounts for and reconciles student activity fund transactions utilizing a web-based third-party product. Ensures student activity funds follow the student activity fund manual and policies and procedures.

Handles the cashiering functions at schools.

  • Maintains bank accounts, makes bank deposits, and reconciles account balances monthly.
  • Prepares requisitions for the procurement of materials, books, equipment and services; assists staff as needed in the ordering process, ensuring that proper procedures are adhered to;

ascertains the availability of funds, monitors the flow of requisitions through the system, reviews invoices and performs follow-up as necessary.

  • Supports the maintenance of inventory records for personal property and assists with, ensuring that all personal property is properly labeled.
  • Oversees the receipt of goods purchased, processes the necessary paperwork to effect payment, and responds to questions from vendors regarding payments.
  • Performs duties and responsibilities using the Enterprise Reporting System of the School District.
  • Performs other financial tasks as assigned.

Other Functions

May be required to sign financial documents.

Qualifications

Minimum Requirements

  • High school diploma or equivalent.
  • Four years of full-time, paid bookkeeping and clerical or accounting experience which has included maintaining and reviewing financial records and / or bank statements, and has involved the use of a personal computer and financial spreadsheet software.

Demonstrated knowledge of :

  • Account record keeping and reconciliation.
  • Routine accounting practices and procedures.
  • Office principles, practices and procedures.
  • Arithmetic.
  • Microsoft Office Suite such as Microsoft Word and Excel.
  • Google Docs software.
  • An Enterprise Reporting System and its applications and software.
  • Budgeting best practices and expenditure control.
  • The principles and practices of receiving, storing and issuing materials and supplies.

Demonstrated ability to :

  • Prepare and maintain routine financial records.
  • Organize and maintain accurate records of account activities.
  • Make varied mathematical computations quickly and accurately.
  • Use a personal computer and financial spreadsheet software.
  • Use an Enterprise Resource System and the related software applications and reports.
  • Learn school or office operations, functions and needs.
  • Communicate effectively, both orally and in writing.
  • Establish and maintain effective working relationships.
