Development Coordinator, University Donor Relations and Engagement

Provides project-based and logistical support for the University Donor Relations and Engagement (UDRE) team. Main responsibilities include managing complex donor and financial data for the annual University-wide Endowment Report (UER) program, facilitating digital and print mailings for donors, and supporting the planning and production of several engagement events each year for the University’s most generous donors.

Daily activities include writing and editing correspondence, researching donor interests and faculty speakers, proposing ideas for program development, project management, database management, data entry and analysis, and report generation.

This position requires keen attention to detail, meticulous organization, excellent written and spoken communication skills, ability to multi-task, and willingness to take initiative.

Works independently as well as part of a team to complete major projects, and must manage competing timelines and requests.

Handles a wide range of confidential information with discretion.

Job-specific Responsibilities :

Working closely with the assistant director, gifts and funds specialist, helps review and create personalized fund reports for donors who have created endowed funds at Harvard.

Gathers, organizes, and edits data, and works with donor relations colleagues and fundraisers across the University to review and update reports.

Maintains accurate records in Harvard’s donor database and works with Operations team in order to deliver reports using a secure digital platform.

May support additional donor communications and recognition projects related to University-wide giving.

  • Supports activities related to the Committee on University Resources and the Global Advisory Council, including assisting in nomination processes, helping with organizational logistics (such as scheduling meetings with faculty and student speakers), drafting briefings for faculty and senior University leaders, and developing programmatic content for donor recognition and engagement events.
  • May help with research and writing projects across the UDRE team from time to time. Work includes researching how donors’ gifts are used;
  • drafting and designing narrative reports to donors; drafting, editing, formatting, distributing, and recording and presidential correspondence;
  • writing short biographies; pulling and analyzing data to inform decision-making around existing and emerging donor engagement and recognition programs;

and other pieces related to donor engagement and recognition.

Maintains accurate information in Harvard’s alumni database, including tracking and updating donor recognition activities, stewardship mailings, and correspondence (particularly as relates to the UER).

Serves as a liaison to the Operations team to ensure that major reporting activities are recorded appropriately.

Responsible for the timely maintenance, updating, and posting of pertinent information to UDRE’s engagement pages (e.g.

Committee on University Resources and Global Advisory Council) on the Source, AA&D’s internal website. Assists with departmental organization, including audits of data integrity and documentation of department processes.

On an as-needed basis, designs, organizes, and implements administrative systems and procedures related to stewardship for the University’s most generous donors.

Manipulates gift and donor data and creates and maintains databases and spreadsheets to support donor relations and recognition programs.

  • Provides back-up support to the UDRE development assistants and peer development coordinator on donor recognition and stewardship projects as necessary.
