THE OPPORTUNITY
The role of the Compliance Office Operations Administrator is to assist the Director of Compliance & Enterprise Risk in the continued development of the College’s Compliance Program and Enterprise Risk process.
Specifically responsible for playing a key role in ensuring the Compliance Office’s operational activities run smoothly by managing and maintaining various Compliance Office processes, communicating and collaborating with compliance partners on various compliance projects, and keeping the policy content management system current.
The Compliance Program supports the mission of the College by enhancing and maintaining an organizational structure that promotes a culture of ethical behavior and reduces the risk of non-compliance with applicable laws, regulations and College policies and procedures.
WHAT YOU WILL DO
Operate the College’s restricted party screening process with various sanctioned party lists, review transactional data, interpret results under the supervision of the Director, Compliance & Enterprise Risk, assist in various processes including annual Conflict of Interest Reporting, Restricted Party Screening, and Enterprise Risk Analysis.
Execute the faculty and staff annual Conflict of interest disclosure process which includes collaborating with HRIS in building the annual conflict-of-interest disclosure questionnaire in Workday;
communicating the process to the college community; and working to ensure full reporting compliance. Review disclosures for reported conflict and report stated conflicts to the Director for review.
Work with the Director, Compliance & Enterprise Risk and departments / compliance partners in assessing processes and procedures for compliance to College policies;
collaborate on various compliance and enterprise risk related projects.
Assist the Director, Compliance & Enterprise Risk in the continued development of the College’s Compliance Program. This will require planning meetings, attending meetings with, or on behalf of the Director, project management and working on more than one project concurrently.
Maintain the Compliance Office website which includes maintaining the Compliance Office Policy Content Management system for College Policies, including uploading new policies, version control / archiving and content review;
monitoring embedded URL links in policies for accuracy and connectivity; and liaising with policy owners / departments on policies over time as needed.
Provide operational support to the Compliance Office which includes serving as a point of contact for the office; proofreading and editing Compliance Office documents and reports;
reviewing and refining PowerPoint presentations as needed; and monitoring and assisting with the budget preparation, expense processing and record keeping.
Manage the department email account, and work in collaboration with the Director, on responding to compliance related matters.
Assume additional responsibilities as required.
WHAT EDUCATION AND SKILLS YOU WILL NEED
Associate’s Degree and equivalent experience (Bachelor’s Degree in Business Studies or related field preferred).
Minimum of 3-5 years of relevant experience Higher Education in Compliance, Accounting / Auditing, Project Management, or Information Technology
Project Management experience working individually or as part of a collaborative group to deliver project goals within given time constraints;
demonstrated ability to improve processes and enhance systems.
Strong technology skills including proficiency in Microsoft Office (i.e., Word, Excel, PowerPoint, and Outlook), SharePoint and Workday;
as well as experience reviewing confidential and sometimes complex data.
Strong organizational, interpersonal and communication skills , and the ability to maintain a high degree of confidentiality.
Ability to successfully perform multiple tasks and balance multiple priorities is essential.
Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.
Anticipates and embraces change ; demonstrates willingness to achieve, acquire, and utilize new skills and challenging tasks;

HOW AND WHERE YOU WILL WORK
Requires work onsite a minimum of 2-3 days a week; the on-campus requirement is subject to modification based on organizational need.
ADDITIONAL SKILLS YOU MAY HAVE
Higher Education, project management and strong technology experience are preferred.
