About the Job
As the Business Operations Supervisor for Pulmonary, Allergy, Critical Care, and Sleep Medicine (PACCS), responsibilities include collaborating variety of internal and external stakeholders including the Division Administrator, Division Director, other senior leadership, faculty, staff, and various business partners to support the mission, vision and values of the organization.
This established division has a mix of distinguished faculty and clinical providers focusing on clinical service, research, and education and exciting new opportunities in the areas of pulmonology, critical care, allergy, and sleep medicine.
The Business Operations Supervisor collaborates with a variety of internal and external stakeholders including the Division Administrator, Division Director, other senior leadership, faculty, staff, and various business partners.

The Pulmonary, Allergy, Critical Care and Sleep (PACCS) Division led by Erhan Dincer, MD. The Division includes more than 80 UMN faculty based at four principal hospital sites.
We proudly feature nationally recognized programs and leaders in Interstitial Lung Disease, COPD, Lung Transplantation, Critical Care Medicine (Respiratory Failure & ARDS), Cystic Fibrosis, Interventional Pulmonary and Sleep Medicine.
We strive to find new treatments and cures for diseases in these areas through basic, clinical and 'big data' research, while working to prevent respiratory illness.
We partner with faculty across the University and colleagues in the community in our research, clinical, education and training efforts.
Job Duties :
Division Operations (50%)
- Collaborate with division leadership to lead initiatives, programs, and process improvement projects in alignment with strategic goals, to ensure efficiency and effectiveness
- Strategize and oversee office operations such as office space, facilities, research space, and technology needs
- Manage or implement strategies for devising or improving administrative and operational processes and best practices, internal and externally-facing documentation, and division communication approaches
- Support budget and financial management, research administration, and compliance activities
- Oversee the coordination, planning, and facilitation of small and large in-person, hybrid, and remote meetings and events
- Manage various recurring and one-time projects through all phases of initiation, planning, execution, and closure
- Develop inventory log of all projects in progress, milestones achieved, rate of return on investment (where appropriate), and improvements achieved.
Report regularly on progress of each initiative, informing leadership of risks throughout as needed.
Supervision (20%)
- Supervise administrative and operations professionals
- Assign and monitor work, evaluate performance, provide regular feedback, and support staff in their goals
- Lead staff in effectively identifying, managing, and facilitating competing and shifting priorities, expectations, and needs
- Lead an administrative staffing plan that supports the division's administrative needs and supports a culture of excellence.
- Ensure appropriate staffing for business continuity purposes, including cross-functional training.
Research Administration (20%)
- Collaborate with PACCS Clinical Research Program to support grant awards and associated activities.
- Ensure administrative support for PACCS faculty research, including space, labs, and equipment.
- Serve as PACCS project manager for training grants (T32), including grant renewal, annual reports, data management, and trainee applications.
- Partner with PACCS Clinical Research Program, research administration, and finance to field data requests and report out to PACCS leadership, on areas like grants, publications, principal investigator % effort, etc.
Communications, Marketing, and Event Oversight (10%)
Responsible for oversight, strategy, content, and direction of division website, intranet, and social networking goals and content;
oversees work related to these initiatives and processes.
- Develops and carries out a division communication and brand management plan and related initiatives in collaboration with special projects resources.
- Oversees and directs the work related to special projects such as fundraising, events, conferences, communications campaigns, presentations, newsletters, etc.
- Oversees maintenance of divisional shared drives and resources; ensuring maximum usage
The starting salary for this position ranges from $80k- 90K with consideration of education and experience.
Qualifications
Required Qualifications : (Must be documented on all application materials)
- BA / BS plus at least 4 years of experience or a combination of related education and work experience to equal 8 years
- Demonstrated ability to move multiple projects forward at the same time and meet deadlines
- Demonstrated strong communication (oral and written), interpersonal, organizational skills
- Ability to manage work within multiple systems, amidst changing priorities and within ambiguous environments
- Demonstrated ability to take initiative and work independently
- Demonstrated ability to effectively lead others and to operate with a high level of confidentiality, discretion, and tact
- Experience and / or commitment to working with a diverse group of people
Preferred Qualifications :
- Degree in business administration, finance, or healthcare administration
- Management experience in a health care and / or higher education setting
- Knowledge of the administrative requirements associated with sponsored research, physician practice management, and graduate medical education
- Experience with using databases and data-driven insights to inform decision-making and report progress to leadership
