General Notes
The Office of the Registrar hires for the needs of the entire office; however, this position will initially be in Veteran Certification.
This position requires a self-motivated individual who exhibits interpersonal skills, strong decision-making abilities who can perform advanced and complex activities related to the core processes of the office.
The tasks are demanding and not always clearly defined which require strong technical and problem-solving skills. The responsibilities of this position require an autonomous, ethical individual to provide direction, guidance, and support of other staff members in a communicative and timely manner.
Providing administrative support, assistance to senior management, producing reports and presentations at campus events is expected.
Must be eligible to work in the United States on a full-time basis for any employer.
Purpose
Provides a wide variety of administrative support and customer support services to students, faculty, staff, parents, alumni, and the general public for operations pertaining to Veteran Certification functions within the Office of the Registrar.
Responsibilities
- Conduct various activities in the Registrar's office including, yet not limited to, advising students in person, via phone or email, regarding items such as veteran education benefits, certifying students for GI Bill® benefits, determine eligibility for the Hazlewood exemption and provide Veteran Certification student consult support at Texas One Stop (in-person).
- Process requests for veteran education benefits (GI and Hazlewood). Update electronic information and verify the accuracy of records.
Store and access documents. Write, edit, and proofread documentation. Compile statistics and information.
- Research and retrieve data to respond to community requests. Troubleshoot customer inquiries, issues, and complaints (includes follow-up contact as needed).
- Coordinate the exchange of information with campus community consistent with federal and state law and educational policy.
Communicate information / data to students, parents, staff, faculty, and reporting entities.
- Represent office as a department liaison. Serve as lead for one or more functional tasks with the unit.
- Actively participate in meetings, training, and presentations. Analyze, interpret, and present data.
- Participate on and support project teams.
Required Qualifications
Bachelor's degree and three years of administrative experience. Demonstrate competency in the use of the Microsoft Office suite and Adobe Acrobat.
Demonstrate adaptability, experience working in a team setting, attention to detail, ability to engage, be motivated in the work environment, both strong written and oral communication, and strong interpersonal communication skills.
Ability to display tact and professionalism, work cooperatively in the office environment, and provide excellent customer service.
Require minimal supervision and use time efficiently. Respond to requests for service and assistance. Exhibit sound and accurate judgment.
Demonstrate persistence and overcome obstacles. Ability to take initiative in working both independently and in cooperation with others.
Preferred Qualifications
Experience with student academic records in a university setting. Experience working with the UT Mainframe, student records, and Veteran Certification.
Extensive experience in a position that demonstrated advanced competency in direct customer service, problem-solving, process improvement or related job knowledge.
Proven ability to analyze issues and offer practical solutions. Demonstrated organizational ability, negotiation skills, and ability to work under pressure.
Experience in identifying and resolving problems in a timely manner. Experience learning, understanding, interpreting, and explaining complex policies and / or legislation.
Proven ability to analyze issues and offer practical solutions. Experience working in a university environment and assisting individuals from various backgrounds.
Strive to continuously build knowledge and skills. Experience managing student workers / employees.
Salary Range
$50,010

Retirement Plan Eligibility :
The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
