One of our top producing real estate teams is looking for an administrative and marketing assistant to work directly under a team leader.

The position is a combination of basic administrative duties as well as creativity in marketing (direction provided). We are committed to delivering white glove service to our clients.

Skill set needed for the position :

  • Must be a self-starter and comfortable working in a fast paced, small team environment.
  • Must be a team player, willing to go the extra mile.
  • Attention to detail, organization, and deadline management is a must.
  • Strong writing and editing skills, as well as verbal communication needed.
  • Must be able to work independently.
  • Proficiency in Microsoft Word, Excel and Outlook, as well as Canva & WordPress. InDesign would be a plus.
  • Must have own transportation and able to travel locally (between client listings, American Dream TV filming, basic administrative errands).

Responsibilities :

1. Administrative Responsibilities :

  • Manage client files in our internal Skyslope management system (such as uploading documents and ensuring files are complete based off a checklist).
  • Manage contact management system (Follow Up Boss) for Team Lead : such as, inputting new contacts received, file in appropriate categories as well as upload to digital newsletter database.
  • Send paperwork to clients for e-signatures through DigiSign.
  • Schedule staging, listing photography and American Dream TV filming appointments.
  • Download weekly listing viewership reports.
  • Organize events for team and clients.
  • Support team agents with basic needs such as ordering and printing marketing collateral, envelopes, and sending digital newsletters.
  • Maintain organization on our internal OneDrive storage system : such as folders for listings, paperwork, and photos.
  • Help maintain Team Lead’s email and calendar on a daily basis.
  • Order office supplies as needed (stamps, envelopes, business cards).
  • Keep track of timelines

2. Marketing Responsibilities :

  • Print, stuff and send envelopes as needed.
  • Manage website and Google business page with new listings, sales, and testimonials.

3. American Dream TV :

  • Schedule Shoots.
  • Reach out to businesses to feature.
  • Research business features and pull info for script design.
  • Attend shoot.
  • Take behind the scenes pictures & videos.
  • Submit field notes from shoot for editing team.

4. Client Service

  • Attend staging consultation and photo shoot.
  • Ensure paperwork is complete and client has a copy.
  • Drop off marketing materials & lockbox as needed.
  • Order client gifts and deliver if needed.
  • Create listing presentation and buyer consultation packets.
