Overview :

We are currently hiring an Ambulatory Administrative Support Specialist to provide essential administrative assistance in our healthcare center.

This role involves managing patient interactions, scheduling appointments, and ensuring smooth operations within the ambulatory setting.

Responsibilities :

Check-in, Check-out, and Registration :

• Verify and update patient information during check-in.
• Handle collections activities and reconcile charges.
• Scan insurance cards and photo IDs accurately.

Greeting and Assessment :

• Welcome patients warmly and assist with their needs.
• Assess appointment urgency and coordinate accordingly.

Telephone and Appointments :

• Answer phones courteously and promptly.
• Schedule appointments and relay messages accurately.
• Confirm patient appointments and verify relevant information.

Problem Solving and Quality Improvement :

• Assist providers in resolving administrative patient issues.
• Collaborate with colleagues to improve workflow.
• Identify opportunities for process enhancement.

Trainings, Manuals, and Cross Coverage :

• Help in training new staff members.
• Maintain front office procedure manuals.
• Provide coverage during staff absences or variations in workflow.

Laws, Rules, Regulations, and Policies :

• Maintain confidentiality and privacy according to HIPAA guidelines.
• Adhere to practice, university, and regulatory policies.

Requirements :

• Strong organizational and multitasking skills.
• Excellent communication and customer service abilities.
• Proficiency in using office equipment and computer systems.
• Knowledge of HIPAA guidelines and healthcare regulations.
• Ability to adapt to changing priorities and work within office hours.
• Previous experience in healthcare administration preferred.
