Status : Full-time, year-round, exempt position
Job Overview :
The Finance Director provides financial leadership and operational support ensuring the school's financial sustainability through adherence to accounting standards, financial management practices, and long-term financial modeling.
This role involves managing the full accounting cycle, financial reporting, payroll, and compliance as well as working with the HOS on budgeting.
Key Responsibilities :
- Financial Management and Reporting :
- Oversee the full cycle of accounting by managing the contracted Controller and Bookkeeper, and driving the month-end close process to produce timely, regular monthly financial reports.
- Prepare and present monthly financial reports, including the Statement of Activity, Statement of Financial Position, and Budget to Actuals;
perform ad hoc reporting and analysis as requested.
- Ensure revenue recognition is accurate across various revenue streams, and improve systems to accurately capture revenue categorization data.
- Work with the Head of School (HOS) and Pedagogical Director (PD) to create and manage the budget, ensuring it aligns with long-term financial planning and school objectives.
- Develop and maintain the 5-year financial model, projecting long-term financial outcomes based on strategic planning inputs (e.
g., tuition adjustments, program changes).
- Oversee Annual Audit, 990 and CT-12 and any other government reporting requirements.
- Oversee compliance with federal, state, and local laws by staying current on regulations and informing the HOS and PD of changes required.
- Ensure adherence to GAAP and internal financial policies and controls, including reserves, capital projects, donor-restricted funds, and facilities.
- Collaborate with the HOS and Finance Committee to update and develop accounting policies and maintain compliance documentation.
- Advise on tuition assistance, fee structures, and other financial scenarios by working with the HOS, PD, and Enrollment Director.
- Support the development team in reconciling funds for audits and reporting profitability for fundraising events.
Team Management and Collaboration :
- Oversee the outsourced accounting team including a Controller and Bookkeeper, ensuring accurate and timely completion of monthly closes in preparation for annual audit.
- Collaborate with the HOS, Finance Committee, and administrative team to ensure alignment on financial goals, and implement procedures and systems.
- Collaborate with the Enrollment Director on tuition assistance and special circumstances.
- Provide financial analysis and planning support for capital projects, facilities management, and long-term asset planning.
- Communicate effectively and professionally with school staff, families, and stakeholders, ensuring confidentiality and clarity on financial matters.
Payroll and Human Resources :
- Manage payroll processing semi-monthly, administer multiple PTO plans accurately, and track benefit eligibility for employees.
- Serve as the main contact for the Professional Employment Organization (PEO) to ensure accurate administration of benefits and compliance with regulations.
- Oversee the annual benefits renewal process, currently with PEO.
- Work with PEO to administer Paid Leave Oregon, and other state programs as well as ensure PEO is providing accurate reporting.
- Handle the administration of self-funded unemployment.
- Available and responsive to staff inquiries related to pay, benefits and policies.
- Maintain employee files and onboard new hires.
- Available for candidate interviews as needed.
Systems Development and Process Improvement :
- Build and refine financial systems and processes to categorize revenue and expenses to accurate general ledger accounts and ensure accurate tracking of all financial activities.
- Develop systems to integrate various platforms and improve automation of financial data to eliminate manual tracking.
- Gather data from various department leads and create systems to help individuals operationalize financial systems.
- Develop processes for budget management, provide training to staff on financial practices, and respond to inquiries related to special circumstances or financial policies.
Required and Preferred Skills, Abilities, and Qualifications :
- Bachelor’s degree in business administration, finance, accounting, and / or a related field is required; an equivalent amount of relevant experience or training can be substituted for a bachelor’s degree.
- A minimum of 5 years of professional experience with accounting, business management is required; experience in non-profits, education is preferred.
- Ability to pass a background check through Oregon’s Central Background Registry is required, in addition to criminal and sexual misconduct background checks through the Oregon Department of Education.
- Experience with standard office equipment and software is required (Google suite); experience with financial management software such as Quickbooks and Bill.com is preferred.
An ideal candidate has the ability to think creatively and strategically about how to meet the current year’s financial goals (short term goals) and how to meet the long term goals of the strategic plan.
This candidate has strong organizational and time management skills, is able to work independently with self-motivation and initiative, and has excellent interpersonal skills.
Hours and Schedule : Full-time, year-round, exempt position. Minimum availability is typically business operating hours Monday through Friday on site with some remote work.
Attendance at occasional evening meetings is required. Vacation and seasonal time off as well as paid holidays off.
Physical Requirements : This job operates in a professional open-floor office environment with a moderate level of noise associated with personal conversations and office machinery.
The employee must be able to see, hear and talk and have the physical ability to move around, lift objects up to 40 pounds, and use standard office equipment such as computers, phones, photocopiers and filing cabinets.
Must be able to use stairs in order to retrieve and return materials to storage locations.
Salary : $82,000 - $90,000 per year
