Sales Support Coordinator & Project Manager

Section I. General Overview & Job Description :

  • Salary Range $55,000-65,000 based on skills and experience.
  • In the role of Sales Support Coordinator and Project Manager at Lights Fantastic Pro, you'll serve as a linchpin in both sales support and project management functions.

Reporting to the Showroom Manager and the Senior Project Manager, you'll oversee the coordination of projects related to supplying lighting and associated products for our customers' new construction or remodel projects.

This multifaceted position requires seamless communication and collaboration with the sales team, meticulous tracking of project progress, as well as being adaptable to sales roles in some cases.

This role is a salaried position with benefits and holidays, located in our Austin, Texas showroom facility.

Section II. Duties & Areas of Responsibility :

  • Your responsibilities encompass a wide range of tasks including, but not limited to :
  • Tracking all project details, statuses, and updates.
  • Collaborating with lighting sales consultants to manage project timelines and deliverables.
  • Assisting in the preparation of quotes, proposals, and sales orders.
  • Providing showroom sales assistance to project clients during consultant unavailability.
  • Proactively identifying challenges to project timelines such as back orders, customization delays, etc, and communicating these potential setbacks with the project manager.
  • Escalating issues when project milestones are at risk.
  • Following up on change orders and coordinating with stakeholders to minimize delays.
  • Managing and tracking logistical processes for product shipments into the company warehouse and direct ship with the partnership of the warehouse manager and purchasing agent.
  • Coordinating internal company activities to fulfill project goals.
  • Creating and maintaining a comprehensive New Project Checklist.
  • Setting up projects, including direct ship set up, in the system (Prophet 21) and ensuring accurate billing and payment processing.
  • Developing and maintaining relationships with customers, vendors, and internal stakeholders.
  • This role will include creating estimates and quotations as required for specific project needs.
  • Effectively utilize, & consistently update, computer programs for tracking and monitoring all projects
  • Track project performance, specifically to analyze the successful completion of short, and long term goals
  • Develop and maintain relationships with internal / external customers and vendors
  • Participate in project meetings, project site meetings, and interim site visits on a regularly scheduled basis
  • Continually gain / improve knowledge and understanding of lighting products, and construction schedules
  • Performing other duties as assigned by the Showroom Manager and Senior Project Manager.

Section III : Necessary Skills and Attributes :

  • The ideal candidate will possess the following qualifications and characteristics :
  • 3+ years of project coordination or administration experience, preferably in the construction or building materials industries.
  • Outstanding organizational skills and meticulous attention to detail.
  • Exceptional customer service and support skills.
  • Excellent verbal and written communication abilities.
  • Strong time management and planning capabilities.
  • Tenacity and persistence in problem-solving and goal achievement.
  • Collaborative and interpersonal skills.
  • Minimum of mid-level computer proficiency in Microsoft Project and MS Office skills (Word, Excel, PPT) and ability to learn new software quickly.
  • Ability to learn products & processes quickly
  • Experience with ERP systems, particularly P21, is advantageous.
  • High school diploma or GED, college preferred
  • Ability to work well both independently and in team settings.

Section IV : Physical Requirements :

  • To perform the duties of this role effectively, you must meet the following physical requirements :
  • Visual acuity for reading documents, inspecting materials, and using computer screens.
  • Ability to speak and hear effectively on the phone.
  • Physical agility for sitting, standing, bending, and lifting up to 20 lbs.
  • Manual dexterity for computer work, handling materials, and conducting site visits.
  • Availability to work established business hours (Monday - Friday, 8 a.m. to 5 p.m.).
  • Valid driver's license and reliable vehicle for business-related travel.
