Administrative Assistant
Our client, a well-established construction and development company known for its high-end commercial projects, is seeking a highly organized and dependable administrative assistant to support their fast-paced office operations. You'll assist with document control, coordinate project schedules, process invoices, and help maintain communication between contractors, vendors, and leadership. Support daily administrative operations, including managing correspondence, scheduling meetings, and maintaining digital and physical filing systems.
Assist project managers with documentation, job costing, and permit tracking.
Prepare reports, proposals, and bid documents for new construction projects.
Coordinate vendor communication and assist with invoice processing and purchase orders.
Track project timelines and ensure deadlines are met.
Maintain office inventory and order supplies as needed.
Provide occasional support to accounting and HR teams with data entry or document preparation.
Requirements
Bachelor's degree or equivalent work experience.
2+ years of administrative experience, preferably in construction, property management, or a related industry.
Proficiency in Microsoft Office (Excel, Word, Outlook); familiarity with construction management software is a plus.
Strong organizational and multitasking skills.
Professional communication skills, both written and verbal.
A proactive, dependable, and adaptable approach to work.
