Job Summary :
We are seeking a highly organized and proactive Event Assistant to support the planning, coordination, and execution of events.
The ideal candidate will have a keen attention to detail, excellent communication skills, and the ability to multitask in a fast-paced environment.
As an Event Assistant, you will work closely with the Event Manager and other team members to ensure smooth event operations from concept to completion.
Key Responsibilities :
- Assist in planning, organizing, and executing events (e.g., conferences, weddings, corporate functions, exhibitions, etc.)
- Coordinate logistics such as venue setup, catering, audiovisual equipment, and decor
- Communicate with vendors, sponsors, and other stakeholders to ensure timely delivery of services
- Support the preparation of event materials such as schedules, programs, and signage
- Handle attendee registration, inquiries, and assist with on-site event management
- Manage event timelines and ensure all tasks are completed on schedule
- Assist with budgeting, invoicing, and expense tracking
- Collaborate with marketing teams to promote events and manage social media outreach
- Provide post-event support, including feedback collection, report generation, and clean-up
- Perform general administrative duties, including scheduling meetings, preparing presentations, and maintaining files
Qualifications :
- High school diploma or equivalent
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities
- Ability to work under pressure and meet deadlines
- Flexibility to work evenings, weekends, and holidays as needed
- Problem-solving skills and the ability to handle last-minute changes
