SUMMARY : The Document Center Operator is responsible for ensuring accurate, timely, and cost-effective processing of all document production including but not limited to print, copy, scan, assembly, binding and mailing.
Works closely with customers on the design, production and distribution of printed materials. Assists with the processing of incoming and outgoing mail.
Maintains proper inventory levels to meet Document Center volume. Ensures all equipment is in proper operating condition by performing routine troubleshooting and maintenance or engaging vendor service and support as needed.
ESSENTIAL FUNCTIONS :
Document Center Operations - 30%
- Production planning for high volume Print and Mail Center
- Works closely with customers on the design, production and distribution of printed materials
- Runs high volume printers and perform binding and finishing work
- Performs document prep, inspection and assembly of projects accurately and in a timely manner using current software applications such as Adobe, Indesign, Pitstop, Fiery, and / or Command Workstation
- Maintains schedules to meet production deadlines
- Maintains an organized production environment to eliminate assembly errors
Mail Processing - 30%
- Processes all out-going mail : UPS, Federal Express, and USPS certified and bulk mailings
- Operates File based mail system that creates 2D barcode files for mailing and insure mail is processed through software correctly.
- Maintains and operates mail processing equipment (Mail Inserter, Addresser, and Paragon machine)
- Coordinates special projects and large mailings with internal customers and external fulfillment and print vendors
- Makes trips to Post Office as necessary
- Maintains postal accounts including mailing permits, manage postage balances to insure adequate amounts are available for mailings
- Processes incoming mail including USPS, UPS, Fed Ex and deliver to internal departments
- Processes incoming mail and scans as required to initiate work flows for internal departments
Related Duties - 20%
- Distributes print output and mail to company personnel and / or designated drop-off points as required
- Assists scan department with scanning and serve as backup to scan operator
- Ensures convenience copiers are working properly, checking for quality via daily inspections
- Clears paper jams and informs technicians of specific problems
- Maintains records for management reports and inventories of supplies as needed
Perform cross functional duties related to Document Center, Computer Operations and Office Services - 20%
- Reception duties
- ID Badge creation
- Covers for Print Production Coordinators
- Barcodes and preps Amisys output for mailing
- Associate assignments in Uniflow
- Responds to and coordinates all service calls
- Performs routine maintenance (clearing jams, refilling toner, replacing machine oil, etc.)
- Works closely with Office Services to meet inventory and fulfillment demands
- Communicates problems effectively and promptly to manager
- Reports and posts metrics to department SharePoint site
MINIMUM REQUIREMENTS :
High school diploma or equivalent and at least three years of related experience.
- Experience with one or more the following software preferred :
- Adobe, Indesign, Pitstop, Fiery, Command Workstation, Planet Press, Fusion Pro
- Knowledge in production printing and mailing methods
- Knowledge of US Postal regulations and rates
- Excellent communication, interpersonal and negotiation skills
- Proven analytical and problem solving skills
- Project management, ability to manage multiple tasks and execute detailed procedures
- Proficient with Microsoft Office Suite, Windows
- Must have a valid driver's license
