As a Legal Assistant at Huff Powell Bailey, you will support our Partners and Associates through various tasks, including drafting documents, filing pleadings, scheduling events, and maintaining case files.
You will also prepare for meetings, depositions, trials, and hearings, working closely with attorneys and paralegals.
Essential Duties and Responsibilities
Communication
- Communicate professionally with attorneys, clients, and external parties.
- Check and respond to internal and external emails regularly to keep attorneys informed.
- Route incoming mail to the appropriate personnel.
Document Management
- Review, respond to, and properly save all incoming and outgoing documents.
- Handle electronic pleadings and update case files within 24 hours of receipt.
- Proofread and prepare correspondence, reports, and memos, ensuring accuracy and adherence to templates.
Case Management
- Assist in new case setup and maintenance, including conflict checks, document saving, and calendar deadlines.
- Research, retrieve, and update information in client case files.
- Prepare templates for responsive pleadings and maintain expert checklists.
Scheduling and Coordination
- Calendar and monitor legal and client deadlines.
- Coordinate the scheduling of depositions, meetings, and other events, including organizing necessary logistics (court reporters, travel arrangements).
Financial Management
- Submit vendor invoices for timely payment.
- Manage invoices on behalf of attorneys.
Job Knowledge, Skills, and Core Competencies
- Excellent verbal and written communication skills.
- Strong knowledge of legal terminology, documents, and court procedures.
- Exceptional organizational skills with a high attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), iManage, and other legal software applications.
- Ability to work independently and collaboratively as part of a team.
- Strong ethical standards and discretion in handling confidential information.
Minimum Qualifications
- High school diploma or G.E.D. required; Bachelor’s degree preferred.
- Prior experience in legal secretarial procedures or document management systems is a plus.
Physical Demands
- Ability to use arms, hands, and fingers to perform daily tasks.
- Capacity to see and hear well (naturally or with correction).
- Ability to sit for extended periods in an office environment.
- Must be able to lift up to 10-15 lbs.
- Must maintain alertness in a safe manner.
