The Residence at Dania Beach -
Basic Function :
Assist the Business Office Director and / or Executive Director in areas pertaining to the day to day operations of the business office.
Duties and Responsibilities :
- Greet visitors.
- Answer incoming calls in a professional manner and determine purpose of call and transfer call.
- Take and deliver messages.
- Responsible for ensuring all guests, vendors and families sign in and out of facility.
- Mail sorting, distribution and forwarding of mail
- Collection of guest meal money
- Creating and copying of resident / facility memos and flyers as needed
- Provide general administrative and clerical support including scanning, faxing and copying to management.
- Schedule appointments for the residents
- Generate reports and other documents.
- Maintain front desk procedures including contact information, directions and frequently asked questions.
- Prepare and modify documents including correspondence, reports, drafts, memos and emails.
- Scheduling of beauty shop appointments
- Mail sorting, distribution and forwarding mail
- Responsible for keeping accurate log of resident face sheet
- Responsible for keeping accurate and up to date census roster and FOS
- Distributing a copy of the census roster to each department head
- Directing resident concerns to appropriate Department Heads
- Typing, filing and miscellaneous copying as requested
Requirements :
- Must have at least 2 years clerical experience
- Computer and software skills
- Ability to prioritize given tasks and work efficiently towards completing them.
- Must have good verbal and written communication skills.
- Must have great organizational skills.
- Must have great customer service and interpersonal skills.
