Position Summary :

The Office Manager is a key contributor to the company success, responsible for ensuring seamless operations within our Nashville office.

Positioned within the HR and Administration department, this role is crucial in fostering the vibrant culture of our Nashville team.

We seek a candidate who thrives in providing top-tier administrative support in a dynamic industry and excels in communication and interpersonal skills, ensuring effective collaboration with diverse stakeholders across the company.

The position is based out of our Nashville, TN office and is required to work from the office 5 days / week. This position is ineligible for full-time remote work and must travel 1x / year for our annual conference.

Responsibilities include, but are not limited to the following :

Office & Vendor Management

o Greet visitors.

o Coordinate office events, group lunch orders, new hire meet & greet lunches, and other celebrations when called-upon for meetings or other functions.

o Update and distribute the weekly office calendar.

o Maintain office / kitchen supplies and organization.

o Run office related errands and manage deliveries and shipping.

o Ensure housekeeping vendors are scheduled regularly.?

o Ensure maintenance vendors are scheduled as needed (exterior landscaping, fire extinguisher, office equipment, etc.).?

o Responsibilities for building management as assigned.

HR Support

o Launch reference emails when assigned during recruitment process

o Greet and escort interview candidates to the conference room when in-person interviews occur.

o Assist with updating and archiving Dropbox files as assigned.

o Assist with updating the company org chart in Organimi.

LEO Studio

o Assist with planning and coordinating studio bookings.

o Greet guests, escort them to the LEO Studio, and handle hospitality needs.

Support LEO Gives, Culture, and Sustainability initiatives in the Nashville office.

Assist SVPs with their monthly expense reports and other administrative support requests as directed.

Qualifications :

Bachelor's degree or equivalent experience preferred.

2-4 years' experience in office administration experience.

Proficient in Microsoft Suite, Dropbox, Adobe Acrobat, and other basic software.

Some knowledge of FedEx account management and AMEX reconciliation management.

Competencies :

Demonstrate trustworthiness, responsibility, accountability, and a respect for confidentiality.

Highly motivated self-starter that embraces the opportunity to work independently and tackle other duties as assigned while meeting deadlines.

Excellent verbal and written communication skills.

Effective organizational and problem-solving skills with a high level of detail.

Able to work with multiple executives and other team members as needed.
