Position Summary
Our Client Service Associate uses skills obtained through experience and training to provide direct support to a Financial Advisor to assist with a wide variety of client and administrative functions.
Knowledge / Requirements
- Preferred 4-Year Bachelor’s Degree and 2-4 years of administrative experience
- Prior experience preferred working in a broker-dealer office or finance industry
- Microsoft Excel, Word, Outlook and PowerPoint proficiency to produce professional documents
- Upholds a polished, professional and welcoming nature with external and internal business contacts
- Ability to organize, manage and track multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced work environment to complete assigned tasks on time
- Excellent verbal and written communication skills to communicate ideas and thoughts in a clear, professional manner to managers, team members, and clients
- Effective problem-solving skills to resolve routine client questions
- Ability to handle moderate amount of incoming phone calls daily
- Ability to work independently and in teams to complete high-priority tasks in a timely manner
- FBI background check and credit check required
- Regular and timely attendance is required
Job Duties and Responsibilities
- Runs daily reports to make sure advisor accounts are in good standing and takes action to work with Financial Advisors to bring accounts into good order when needed
- Coordinates and performs a wide range of staff and / or operational support activities
- Anticipates client needs, solves problems and follows through with exceptional service while communicating with clients and maintains service, turnaround times
- Responds to incoming emails and telephone calls in a professional manner to ensure that the client’s request is met in a timely fashion
- Supports the front desk with various office tasks including answering phone calls, greeting clients, processing checks as needed
- Manages calendar and schedules meetings for clients, prospects and outside vendors
- Prepares and coordinates client forms and documents all relevant action items and tasks being tracked in CRM
- Interacts with the firms’ home office support to develop cooperative relationships and follows through on requests
- Opens new client profiles for prospective clients and add accounts to existing relationships for existing clients
- Close accounts for clients
- Attend regular meetings like Weekly Op’s Meetings, Professional Development & Compliance
- Assist with travel arrangements for the advisor to see clients
- Executes project-related tasks to contribute to the firm’s development
- Supports team members with various duties and responsibilities as assigned
