The Department of Medical Student Education has an exciting opportunity for a full-time Program Coordinator to work in Miami, FL.

The Program Coordinator provides general oversight of the day-to-day operations of the program. Moreover, the incumbent assists with the development, organization, production, and evaluation of the program to achieve its mission, goals, and objectives.

An employee in this position demonstrates familiarity with University policies and procedures and ensures program compliance.

  • Acts as a liaison to program constituents both within the University of Miami and externally.
  • Facilitates collaboration between different schools and academic support units throughout the University.
  • Coordinates the collection, compilation, and analysis of program activity data.
  • Drafts comprehensive, statistical, and narrative program reports and evaluations, and monitors program effectiveness, making suggestions for revisions when appropriate.
  • Coordinates the scheduling of program classes and designated classrooms.
  • Drafts and initiates correspondence, develops agendas, maintains calendars, assists in accumulation of reference materials, and coordinates and attends committee meetings.
  • Assists with the development and implementation of student recruitment initiatives.
  • Provides assistance and support for student participants in all administrative aspects of the program and maintains student files.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent
  • Minimum 1 year of relevant experience
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.
  • Ability to process and handle confidential information with discretion.
  • Ability to work evenings, nights, and weekends as necessary.

  • Proficiency in computer software (i.e. Microsoft Office).

Department Specific Functions

The Simulated Patient Program Coordinator will coordinate the simulated patients (SPs) under the supervision of the Director and Manager of the SP program.

The incumbent will recruit, schedule, and track SPs involved in the teaching and assessment activities in the Program that include objective structured clinical examinations (OSCEs), and formative simulated encounters.

The incumbent will be responsible for maintaining the SP schedules and confirmations, developing contact lists, and updating the SP training and session database.

The incumbent should remain informed of the best practices in SP education, current training and recruiting techniques, and maintain a high attention to detail.

DUTIES :

Assists with the training and development sessions for Simulated Patients (SPs) for teaching and assessment through scheduling and coordination.

SPs are trained in all aspects of case portrayal, accurate evaluation of learners' communication and clinical performance.

  • Coordinates sessions utilizing and updating SP calendar. Maintains open communication with staff regarding upcoming training or SP sessions.
  • Liaises with the Medicine as a Profession (MAP) Program Manager and Sr. Program Coordinator to ensure communication and collaboration on Clinical Skills hands-on events including SP sessions, Longitudinal Clinical Educator (LCE) training sessions, and skills training.
  • Coordinates with the MAP Team to post student schedules and announcements for clinical skills sessions.
  • Oversees ordering process for catered events. Creates requisitions in Workday, attaches invoices and totals; follows up with approvals to get POs;

maintains catering spreadsheet with totals to date.

Maintains a database detailing which SPs are trained and available to portray each case, as well as logging SP sessions, cases, and time tracking.

This includes documenting SP hours for all training and sessions.

Assist in monitoring SP performances. This includes all aspects of case portrayal such as delivering details, affect, and physical simulation.

This may involve observing videos of SPs for quality assurancpurposes to ensure standardization and implement retraining.

  • Assists with the recruitment and selection of SPs to portray cases based on specific criteria.
  • Assists with coordination and day-of execution of clinical learning activities / OSCEs (formative, summative, and high stakes).

This includes preparing paperwork, setting up SPs rooms, ensuring SPs, learners, and faculty have all materials needed in order to operate successfully (cases, evaluations, laptops / tablets).

  • Assists with technical, professional, and logistical requirements and materials for all activities associated with SPs in a simulated environment.
  • Liaise with other Miller School Departments and the Office of Medical Education to assist with student scheduling and the administration of reporting of results.

Other duties or projects as assigned as appropriate to rank and departmental mission.
