DESCRIPTION

Earl Warren College is one of eight undergraduate colleges at the University of California, San Diego. Warren College is home to approximately 5600 undergraduate students who may select any major offered by the university.

The colleges are distinguished by their general education curriculum which at Warren encourages both depth and breadth, stresses the relationship between the individual and society, and includes two quarters of writing and ethics for most students.

The Executive Assistant to the Dean of Student Affairs organizes the efficient and effective day-to-day operations as part of a team under the Dean's areas of responsibility.

Acts as the Dean's primary designee for a number of confidential functions including student discipline. Conducts research as directed by the Dean and prepares confidential reports, letters, and memoranda.

Ensures efficient and effective operations under the Dean's areas of responsibility for student leadership programs, student activities, orientation, residential life, first year experience programs, commencement and assessment.

Works with students, faculty, staff and parents to resolve questions, concerns and problems while providing information and using judgment to determine appropriate courses of action.

Establishes office procedures and performs clerical and administrative services. Coordinates and manages the Dean's calendar and travel arrangements.

Serve as primary liaison between Dean's office and Colleges Business Office (CBO).The Executive Assistant to the Dean also independently manages academic and non-academic conduct cases within the University's judicial system, ensuring that the Dean's Office adheres to federal and state laws, UC policy directives, the Student Conduct Code, and the Integrity of Scholarship Statement.

The Executive Assistant to the Dean complies with a series of overlapping timelines and creates protocols for the proper handling of student conduct cases.

The Assistant to the Dean also receives and processes cases using UCSD's student conduct database.

Work Schedule : Hybrid - 2 days in person (La Jolla) and 3 remote. Occasional evening and weekend hours to support unit and College events and programs such as Orientation, Commencement, Welcome Week, Triton Day, etc.

QUALIFICATIONS

Demonstrated experience managing complex calendar and travel arrangements, planning meetings both on- and off-site.

Proven ability to conduct research and analyze various documents, with the objective of obtaining data and historical information to compile reports or on-going projects.

Demonstrated ability to assimilate a wide range of information in order to provide up-to-date, accurate information to others.

Demonstrated outstanding level of professionalism in providing administrative assistance, including ability to exercise independent judgment, discretion, initiative, tact and diplomacy in handling highly sensitive matters and maintaining strict confidentiality.

Ability to develop and organize systems for the management of student information, confidential files, and general office function.

Superior interpersonal skills and demonstrated ability to interact and communicate effectively with a diverse group of students, faculty, staff, and administrators in a professional manner.

Must possess strong teamwork, collaboration and cooperation skills.

Demonstrated ability to recognize problems, identify potential solutions, implement appropriate resolution, and evaluate results and progress.

Demonstrated ability to proofread own and others work with proper formats for composing and editing documents using a thorough mastery of English grammar, punctuation, and spelling.

Proficient skill utilizing Microsoft Office applications including databases, word processing, spreadsheets, and electronic mail.

Ability to perform the scheduling, organization, coordination and for a wide variety of college and campus-wide meetings and events.

Ability to investigate, analyze, and compile financial and budgetary data and to develop, evaluate and implement sound budget recommendations.

Demonstrated ability to develop and maintain accurate and detailed records.

Proven ability to multi-task, prioritize workload, meet a variety of intermediate and final deadlines that carry a high consequence of error, with frequent interruptions / changing priorities.

Pay Transparency Act

Annual Full Pay Range : $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent : $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.

The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position.

The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
