Dibble is looking for a skillful and highly motivated Project Coordinator to join our Phoenix office Transportation Team.

SUMMARY
This role of Project Coordinator is responsible for providing coordination and planning support to Project Managers, Group Leaders, and Business Unit Leaders.
This person will oversee multiple tasks related to project administration, coordination with accounting, marketing document preparation, and Business Unit administration.
This person maintains project management reporting software, creates and updates project / client files and generates schedules and reports.
Tracks project budgets and may assist in preparing client invoicing. Also assists with writing technical reports and document processing, technical memorandums, specifications, and meeting minutes.

ACCOUNTABILITIES :
- Assist with researching Capital Improvement Plans (CIPs) and identifying potential pursuits.
- Assist with researching current and future market trends.
- Enter, update, and archive client contacts in VantagePoint (VP).
- Enter information on opportunities and pursuits into VP.
- Assist project managers with developing Statements of Qualifications (SOQ), Statements of Interest (SOI), and scopes & fees.
- Prepare the project work order, budget detail, and rate table to establish new projects and incorporate task order and contract modifications.
- File signed contracts and task orders in the project folders and forward them to Accounting for their records.
- Review the Transportation and Flood Control Pending Contracts report from Accounting and track down missing executed contracts.
- Assist the project manager (PM) in reviewing scopes and fees for subconsultants and preparing Independent Consultant Agreements.
- Assist PMs with scheduling project meetings, preparing agendas, copying handouts, and notes.
- Prepare AZ811 utility design tickets and map requests.
- Generate and track project schedules.
- Compile tabulations for bid prices.
- Prepare project close-out forms.
- Update backlog and project list in the revenue projection and resource tracking spreadsheets.
- Coordinate and organize project documents and records.
- Assist PMs with reviewing monthly financial reports for projects.
- Identify projects with potential financial issues.
- Review the aged receivables report and contact clients concerning late payments.
- Assist with preparing grant applications.
- Collect data in preparation for the business unit planning cycle.
- Assist the Business Unit Leader (BUL) and the Group Leader (GL) in preparing monthly and quarterly reports for the Executive Team.
- Provide support to the GL and BUL for the Transportation Monthly Meetings.
- Assist with various administrative duties such as managing office supplies, formatting letters and memos, preparing copies, scanning, and running small errands.
Note : Management may assign or reassign duties and responsibilities as needed.

Education and Experience :
- Associate degree preferred.
- Minimum two years prior experience in project coordination or a similar role.
- Experience working in the professional services industry preferably in the A / E / C industry.
Other Requirements :
- High proficiency using Microsoft Office. Strong Excel and Word skills are required.
- Strong organizational skills.
- Must have a valid Arizona driver's license or be able to obtain a valid Arizona driver's license within three months of the start date.
LOCATION : This opportunity is in our Phoenix office location.
COMPENSATION : Based on level of skills and experience.
