Special Projects Manager

The Mayor’s Office of Correspondence and Constituent Services (MOCCS) is seeking a motivated, energetic individual with excellent writing skills.

The qualified candidate will be able to perform well in a fast-paced environment, manage multiple tasks, and be responsive to the needs of the constituents that we serve.

The Mayor’s Office of Correspondence and Constituent Services (MOCCS) mission is to ensure timely responses to requests for services and information received by the mayor via US mail, facsimile transmission, emails and telephone.

MOCCS is comprised of two units the Constituent Services Unit (CSU) and the Correspondence Unit (CU). The Constituent Services Unit communicates by phone with constituents seeking immediate assistance from the Mayor’s Office.

The Correspondence Unit handles an incredible volume of emails and written correspondence as well as requests for ceremonial documents.

Position Responsibilities

  • Research and prepare all greeting letters, proclamations and ceremonial documents that require specialized verbiage.
  • Perform all tasks required for the completion of assigned ceremonial documents (printing, seals, labels, phone call / email to requester, close out email to team.)
  • Serve as backup support for the mayor’s public email account, processing all incoming emails and constituent concerns.
  • Assist with any special projects, as assigned. Projects could include but are not limited to : Maintaining and updating the Constituent Concern Database.

Updating and managing our MOCCS Transition Report and Office Overview guide.Develop communications plan for MOCCS.Design logo for print, web and promotional items as part of MOCCS branding.

Launch e-mail newsletter.Create and update brochures, other print projects for MOCCS.Develop content for MOCCS website to assist constituents in navigating City services.

Develop updated internal tracking systems for ceremonial document requests and correspondence addressed to the mayor.

  • Maintain project progress, set and maintain deadlines, and solve or flag issues that arise to ensure completion of all projects.
  • Ensure data tabulation reports are compiled and submitted by close of business on Fridays or the last working business day of each week (in the event of a Holiday.)
  • Perform related work, as required.

Position Qualifications

  • Ability to maintain high confidentiality, discretion, tact, and diplomacy with materials and situations.
  • Superior written and verbal communication skills; with proven ability and experience in developing and or interpreting materials for varied audiences.
  • Ability to work effectively and collaboratively with members of local government, for-profit, and non-profit organizations, community leaders, and constituents.
  • Ability to communicate effectively, both orally and in writing, with senior leadership members, agency heads, City Council members, designees, and representatives.
  • Knowledge of the principles and practices of public administration and local government entities.
  • Ability to read and interpret rules and regulations and understand local policies and SOPs.
  • Ability to pivot during flocculating priorities, deadlines, and deliverables.
  • Ability to research and compile administrative reports and documents and to analyze planning reports and statistical information.
  • Knowledge of virtual meeting technology.
  • Skilled in the use and application of Microsoft Apps (Office, Office 365, Excel, Publisher, Teams, PowerPoint), Adobe Photoshop, InDesign, Illustrator and Dreamweaver.
  • Knowledge or experience with web design and programming, scripting languages, repurposing existing HTML and programming code, and graphic design is desired.
  • Ability to effectively communicate technical information to non-technical audiences.

Education and Experience

  • Bachelor’s degree and four years’ experience preferred.
  • Salary commensurate with experience.
