This position is responsible for supervising the day-to-day operations of assigned OP Coding specialists in multiple service locations.

Acts as a supervisory support which includes OHSU and all of OHSU system partners both current and future.

Responsible for understanding and ensuring that all outpatient coding meets compliance standards with the Official ICD Guidelines for Coding and Reporting, CMS guidelines, and AMA guidelines for CPT coding.

Day-to-day responsibilities include supervising OP Coding Specialists, covering multi-specialty departments such as OP Clinics, OP Infusion clinics, and OP Therapy by establishing daily workload priorities, supporting all coding workflows, and monitoring coding volumes in assigned areas to support business needs and operations metrics.

Evaluate staff performance daily, complete annual performance appraisals, and provide feedback to employees.

Resolves personnel issues, concerns, and problems by remaining open and engaged with direct reports. Creating a team approach to success.

Review workload, schedules, and staffing to ensure that daily responsibilities are completed.

Organize regular occurring team meetings focusing on education and problem-solving.

Work daily with the at-large HB Coding Leadership Team to collaborate and ensure coverage for all coding service areas.

Function / Duties of Position

Acts as the direct supervisor to medical coding personnel assigned to OHSU / HMC service areas and acts as supervisory operational support for OHSU Health system partners.

  • Under the supervision of the coding manager, interviews, hires, disciplines, and evaluates staff performance.
  • Evaluates staff performance daily, completes annual performance appraisals & provides feedback to employees and the coding manager
  • Under the supervision of the coding manager, resolves personnel issues, concerns & problems.
  • Under the supervision of the coding manager develops, sets & monitors productivity standards.
  • Ensures that all coders meet productivity standards and provides the coding

manager with regular weekly reports on coder productivity

  • Works with coders on improving productivity where needed
  • Review workload, schedules & staffing to ensure daily shift responsibilities

are complete.

  • Under the supervision of the coding manager, initiates disciplinary action as needed following OHSU guidelines.
  • Reviews time & attendance records weekly & submits adjustments
  • Evaluates and approves leave requests.
  • Daily, answers all outpatient facility coding questions and requests coming from interdisciplinary departments.
  • Manages WQ volumes and late charge reports. Provides support for all missing documentation workflows

Responsible for ensuring continuing education and training of the supervised coding specialists.

  • Organizes / Provides monthly in-service meetings / education for all of the outpatient coding areas.
  • Keeps abreast of all coding updates and changes by regularly reviewing Coding Clinic for ICD-10, Coding Clinic for HCPCS, CPT Assistant, and CMS Transmittals.
  • Works closely with the coding coordinator team to ensure all coding changes and updates are distributed
  • Trains all new outpatient coding employees.
  • Works in collaboration with physicians for in-service training for coding staff.
  • Is proficient in all aspects of the computerized systems utilized in the coding area & educates all employees on existing software and any upgrades

or enhancements.

Responsible for cross-training coding specialists on different coding areas so

that backup coverage is available for absences or vacations. 25% YES

Conducts regular quality assurance audits

  • Reviews a random sample of coded records for coding accuracy. Utilizes ICD-10-CM and CPT guidelines, APC's, and facility E&M guidelines to verify coding accuracy.
  • Conveys audit results to the Coding Manager and individual coder.
  • Uses results of coding audits to develop the agenda for the monthly training meetings.

Provides coding coverage on an as needed basis to cover unexpected absences and to prevent or resolve coding backlogs.

If requested to do so by the Coding Manager, reviews resources for coding area, attends vendor demonstrations and recommends for purchase items such as software, equipment, and educational materials.

Required Qualifications

  • Bachelor’s degree or equivalent years of experience
  • Demonstrated advanced coding skills in an acute care outpatient hospital setting (ICD- / 10-CM ,CPT, HPCPS coding).
  • Demonstrated knowledge of the Hospital Outpatient Prospective Payment System (OPPS).
  • Previous experience in supervising or acting in a lead role for outpatient facility coders including performing coder evaluations and initiating disciplinary actions and corrective action plans in a union environment.
  • Demonstrated teaching experience and experience in developing educational plans for a coding department.
  • Thorough knowledge of medical terminology, anatomy & physiology & medical science
  • Through demonstrated knowledge of the Outpatient Patient Prospective Payment System
  • Ability to analyze & evaluate medical records for coding purposes & make appropriate decisions.
  • Excellent communicator (oral & written)

Preferred Qualifications

  • Associates / Bachelor’s degree in a healthcare field
  • At least five years of OPPS coding experience
  • Previous academic medical center experience highly preferred.
  • At least five years previous experience supervising OP coding groups
  • CPC-H, CCS, RH1T / RHIA certification with active membership in AHIMA. (American Health Information Medical Association

Additional Details

Salary Range : $61,318.40 - $97,968.00 per year
