This position supports the Vice President, Specialty Programs and the Program Analysis and Reporting (PAR) Department. Responsibilities consist of managing department general administrative functions which include maintaining personal and departmental calendars (i.

e., scheduling internal and external meetings, etc.), assisting with meeting materials, supporting department functions and related tasks, the documentation of meeting minutes and action items.

Additional responsibilities include monitoring and following up on action items, the department’s closing schedule responsibilities, the department’s contract log and other tools to ensure completeness of activities.

In addition, this position will monitor monitoring the various accounts receivable and follow up with the analysts as necessary to ensure that PAR stays current with these activities.

This position will also provide support to PAR as it relates to processing exhibits and payments for various programs. Strong organizational and interpersonal skills as well as the ability to effectively multitask amid tight deadlines is essential.

Essential Functions :

Monitor the various receivables associated with the programs, follow up with the analysts as necessary to ensure we are up to date;

provide support to the analysts as necessary by following up with the accounts and / or Client Services Director; coordinate meetings / calls as needed

  • Monitor the closing schedules and follow up as necessary with team member to ensure that all assigned tasks are completed timely
  • Monitor the contract log to ensure that all contracts and addendums are reviewed and handled as documented by analyst and manager sign-offs in a timely manner
  • Assist with the tracking and electronic filing / organization of the FET returns and related documentation
  • Assist with the various statutory filing requirements by following up with programs and assisting with the completion of certain forms / filings
  • Attend meetings, summarize and document discussion points and outcomes; and track completion status of required action items
  • Assist Analysts and Management with agendas / presentation materials as requested
  • Provide support for departmental, internal and external auditing needs, requests and related tasks
  • Schedule internal and external meetings
  • Organize and order internal lunches and purchase department office supplies as requested
  • Assist with department UAT as requested
  • Manage travel arrangements for the department (flights, hotels, conference registrations, etc.); assist with expense reports
  • Interact with various levels of management both internally and externally
  • Special projects and ad hoc reports as assigned

Knowledge / Skills / Abilities :

  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word, etc.) required
  • Ability to quickly identify important concepts / ideas / tasks and document for future reference and action items required
  • Accepting of tasks outside of job description
  • Accurate, well organized and attentive to detail
  • Excellent written and verbal communication skills
  • Works effectively and efficiently under pressure while maintaining high standards despite pressing deadlines
  • Capable of managing multiple projects at the same time
  • Able to work with minimal supervision and as part of a team while maintaining positive relations with internal and external constituents
  • Familiarity with insurance / reinsurance preferred but not required

Education / Experience :

  • Bachelor’s Degree preferred; High School diploma required
  • Prior experience working as an Administrative Assistant or Coordinator preferred
