Job Summary :
We are seeking a detail-oriented and experienced Legal Conflicts and Intake Specialist to join our team. The ideal candidate will be responsible for identifying, analyzing, and resolving potential conflicts of interest related to new clients, matters, and lateral hires.
Additionally, the specialist will manage the intake process to ensure compliance with firm policies and regulatory requirements.
The role requires excellent research, analytical, and communication skills, as well as a thorough understanding of legal ethics and conflicts of interest.
This position is onsite 3 days per week.
Responsibilities :
- Conflicts Analysis :
- Conduct comprehensive conflict checks for new clients, matters, and lateral hires using the firm's conflicts database.
- Analyze conflict check results to identify potential conflicts of interest.
- Work with attorneys to resolve conflicts and obtain necessary waivers.
- Document conflict resolution efforts and maintain accurate records.
- Client and Matter Intake :
- Manage the client and matter intake process to ensure compliance with firm policies and procedures.
- Review and approve new client and matter intake forms for completeness and accuracy.
- Verify client information and perform due diligence checks.
- Ensure proper documentation and authorization for all new engagements.
- Policy Compliance :
- Stay updated on legal ethics rules, regulations, and best practices related to conflicts of interest and client intake.
- Implement and enforce firm policies related to conflicts and intake processes.
- Conduct regular audits to ensure adherence to policies and procedures.
- Communication and Collaboration :
- Serve as a point of contact for attorneys and staff regarding conflicts and intake inquiries.
- Provide guidance and training to attorneys and staff on conflicts and intake procedures.
- Collaborate with the IT department to maintain and improve conflicts and intake systems.
- Reporting and Record Keeping :
- Prepare and maintain detailed reports on conflicts checks, intake processes, and resolution efforts.
- Ensure all records are accurately maintained and easily accessible.
- Provide regular updates and reports to the Director of Conflicts and Intake and other senior management.
