Job Summary :

The Compliance and Operations Support Specialist will be responsible for providing direct support to the Manager of Compliance and Administration.

The Compliance Team monitors email messages for strict adherence to industry regulations while proactively addressing any issues that may arise.

Compliance is heavily involved in the coordination and documentation of new and existing contracts with auditing throughout the year.

Additionally, this role will support a variety of current and forthcoming administrative, operational, and technical projects.

We provide training and ongoing support, but also empower our staff to work creatively and independently. We have high standards and count on each other.

This position reports to the Operations Teams leadership.

Responsibilities :

• Proactively mitigate compliance risks through automated and manual content reviews providing necessary follow up for full resolution
• Maintain accuracy of the Compliance data
• Provide regular reporting and updates to the Compliance Manager and other stakeholders
• Analyze new and pending laws, regulations, and regulatory risk alerts to identify those which may impact RXMGs business and draft revisions to firm policies and procedures, as necessary
• Periodic internal auditing
• Contracts coordination, processing, documentation, and storage
• Domain management, renewals, purchasing, and configuration support
• Prepare internal and external communications
• Manage and partner with the Operations Team on forecasted projects and prioritization
• Manage all aspects of assigned projects to effectively execute on timelines and goals. Drive project schedules and communications, meeting cadence, and the execution of deliverables
• Analyze complex ideas or processes and build a range of meaningful recommendations. Draft these processes and regularly maintain the process documentation software
• Additional responsibilities and / or project support as needed by the Compliance, Administrative, or Operations Teams as needed

Qualifications :

• Knowledge or experience of marketing compliance and industry regulations
• Some Project Management experience
• Investigation and internal auditing experience
• Strong verbal and written communication skills that can be flexed to fit a broad spectrum of situations
• Excellent organizational & time management skills
• Exceptional attention to detail
• A strong sense of accountability and work ethic with the ability to manage work independently
• Superior judgment and critical thinking skills to make a well evaluated decision regarding state regulations and company operating procedures
• Ability to analyze technical documents and make recommendations and improvements
• Effective problem solving skills used to identify efficiency, quality and / or service improvements to the work assigned
• Ability to work in a fast-paced environment and proactively anticipate the needs of a changing landscape
