The Department of Human Genetics is currently seeking a temporary Sr. Clinic Assistant to work in Miami. The Senior Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits.
The incumbent also assists with patient care, such as nursing activities and laboratory collections.
JOB FUNCTIONS
Explains HIPPA to patients and obtains signatures.
Submits signed consents healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports.
Tracks pending records to ensure delivery prior to clinic visits.
Communicates to t appropriate nurse coordinator if difficult or unable to obtain pertinent records.
Travels within the facility and campus to retrieve records, films, or CDs.
May collect and prepare specimens.
Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.
Completes, and processes patients’ charts.
Assists with ordering, receiving, distributing, sorting, and storing supplies. 10. Reports suspicious or unusual incidents to appropriate supervisory personnel.
Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.
Adheres to University and unit-level policies and procedures and safeguards University assets.
Department Specific Functions
Answers telephone in a professional and diligent manner, relaying messages via the appropriate method in a timely fashion and follow up when required.
Will escalate to supervisor as needed. And is available for escalation from the department’s clinic assistant.
- Answers e-mails, U-Chart messages in a timely manner
- Register patients, schedules appointments, triage to make sure that all appointments are scheduled correctly.
- Verifies insurance coverage on patients for their visit & works with both Billing and CIV to coordinate cancellations for billing purposes.
- Prepares medical records for clinics, gather test results and others as requested by providers & counselors. Also makes sure that the Clinic Assistant has the correct clinic prep.
- Routes Medical record requests via fax for prior authorizations.
- Assist pediatric genetic counselors with contacting patients regarding upcoming appointments, sample collection, and order placement.
- Assist pediatric genetic counselors with placing lab orders from clinic, uploading genetic test results, and communicating with laboratories about sample failures and medical record requests.
CORE QUALIFICATIONS
High school diploma or equivalent
Minimum 3 years of relevant experience
Knowledge, Skills and Attitudes :
Skill in completing assignments accurately and with attention to detail.
Ability to analyze, organize and prioritize work under pressure while meeting deadlines.
Ability to process and handle confidential information with discretion.
Ability to work evenings, nights, and weekends as necessary.
