Role Description :
The Business Administrator is responsible for a wide variety of areas to ensure the smooth daily operation of the organization.
Duties include, but are not limited to, supporting company president and team employees with calendar, travel and expense management, managing company and client information database, client invoicing and collections, drafting marketing emails and materials and sales quotes / proposal preparation.
Also responsible for providing human resources support to the company President and the team. The Business Administrator will deal directly with clients providing excellent customer service.
Successful communication skills are required along with effective time management skills and organizational abilities.
Key Responsibilities :
- Provide support to company President and continually assess operational tasks that can be offloaded to Business Administrator and / or other team members so company President can become more focused on driving the company forward.
- Manage the entire client billing process as well as collections. This includes review and approval of all network engineer time entry, creating and reviewing invoices weekly and reconciling monthly agreements for invoicing.
- Create, review and / or modify company policies to ensure policies are up to date and meet industry standards.
- Create new procedures and processes to promote efficiency.
- Drive performance review and goal setting process with the team.
- Provide human resources support in benefits, employee performance issues, and other human resource functions.
- Assess and improve upon office processes to gain efficiencies for the team and company.
- Recommend changes to policies or procedures to improve operations ensuring a positive impact on employee morale.
- Create sales quotes and proposals for clients in ConnectWise Sell utilizing various vendor partner sites / information for pricing.
- Create and manage client contracts, and managed service agreements. Maintain updated signed managed service agreements in Rubex for all clients.
- Create and maintain a process for regularly scheduled total business reviews.
- Provide backup support to Operations Manager in managing the service delivery team’s daily activities as well as the dispatch process of service requests and schedule resources on the ConnectWise dispatch portal as needed.
- Assist President with ad hoc items upon request.
- Assist Operations Manager and network engineers with ad hoc items upon request.

- Document internal processes and procedures related to duties and responsibilities.
- Ability to learn and understand the tools required for this role in ConnectWise Suite.
- Understand processes in ConnectWise by completing assigned training materials and blueprints on the ConnectWise University.
- Successfully perform the planning, directing, reporting and administrative responsibilities of this position.
- Ability to manage multiple issues / projects and adapt to changes quickly.

Qualifications
- At least 7-10 years office manager, business administrator or executive assistant experience.
- Must have excellent networking, organizational and decision making skills.
- Must be detail, goal and quality oriented.
- Must be proficient in Microsoft Office Suite products.
- Experience working with and / or supporting an IT Team a plus, but not required.
- Experience working with MSP / NOC Team Environment a plus, but not required.
