UDR, Inc. is now hiring an Executive Assistant - Acquisitions & Dispositions to join our team at our corporate office in Highlands Ranch.
GENERAL SUMMARY OF DUTIES : Provide high-level executive support to the Senior Vice President - Acquisitions and Dispositions and administrative related services for Company Executives and / or departments.
Handles details of a confidential nature and performs administrative functions. Requires broad knowledge of corporate operations and policy and a high level of experience, discretion, and technical skill.
High standards of performance and integrity combined with demonstrated sound judgment in a variety of situations are essential.
SUPERVISION RECEIVED : Reports directly to the Senior Vice President - Acquisitions and Dispositions
SUPERVISION EXERCISED : May supervise an Administrative Assistant - Corp
ESSENTIAL FUNCTIONS :
1. Manage supervisor's calendar and independently schedule appointments.
2. Compose and prepare confidential correspondence, reports, and other complex documents.
3. Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings, and manage changes to travel in real time.
4. Create and maintain expense reports. Review expense reports for policy compliance and processing.
5. Prepare documents for signature by the appropriate party and notarize as needed and required.
6. Read and route incoming mail. Locate and attach appropriate file to correspondence to be answered by employer.
7. Coordinate and arrange internal and external meetings and conference calls., prepare agendas, and reserve and prepare facilities.
8. Conduct research, compile, maintain and type statistical reports, databases, and spreadsheets.
9. Compose and type routine correspondence.
10. Organize and maintain filing system, file correspondence and other records. Ensure protection and security of files and records.
11. Greet scheduled visitors and accompany them to the appropriate area or person.
12. Make copies of correspondence or other printed materials.
13. Arrange programs, events, or conferences by arranging facilities and catering, issuing information or invitations, coordinating speakers, and controlling the event budget.
14. Oversee special projects as assigned.
15. Perform other duties as assigned or as necessary.
PERFORMANCE REQUIREMENTS :
Knowledge of organizational policies and procedures. Knowledge of general office practices, organizational policies, and procedures.
Knowledge of Human Resources policies and procedures. Ability to apply policies and procedures to solve everyday issues.
Ability to maintain a high level of accuracy in preparing and entering information, and attention to detail. Thorough knowledge of office practices, procedures, and equipment.
Ability to perform a variety of secretarial assignments requiring considerable exercise of independent judgment. Ability to meet and deal effectively with clients, associates, and the general public.
Ability to establish priorities and coordinate work activities. Ability to exercise initiative, problem-solving and decision-making skills.
Must demonstrate excellent interpersonal skills; team-building skills; analytical and problem-solving skills; and decision-making skills.
Ability to read, analyze, and interpret financial reports and legal documents. Ability to apply concepts of basic algebra and geometry.
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions.
Proven professional communications skills and outgoing personality. This position requires strong interpersonal skills in order to maintain contact and work effectively with all levels of management, employees, and outside parties.
Excellent verbal and written communication skills. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
Ability to effectively present information to top management. Must have effective verbal and listening communication skills.
Ability to quickly develop strong internal working relationships.
Must have extensive experience with computer skills including spreadsheet, word processing programs, and e-mail at a highly proficient level.
Knowledge of computer systems and applications. Skill in composition, setting up and typing accurately and with reasonable speed, a variety of correspondence, reports, and other materials.
Ability to process computer data and to format and generate reports. Ability to create, compose, and edit written materials.
TYPICAL PHYSICAL DEMANDS : Some bending, stooping, and stretching. Occasionally lifting items weighing up to 30 lbs. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment.
Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Extensive data input and required ability to sit for long periods of time.
Regular and consistent attendance on the job is an essential function.
TYPICAL WORKING CONDITIONS : Normal office environment. Occasional evening or weekend work. Must be able to travel as required.
EDUCATION AND EXPERIENCE :
1. Bachelor's degree in business administration or equivalent is preferred. High School diploma with four to six years' related experience and / or training;
or equivalent combination of education and experience is required.
2. Minimum of five years' related experience as an executive level administrative / secretarial position is required.
3. Proficiency in Microsoft applications required.
4. Must have and maintain a valid driver's license unless otherwise noted.
5. Notary preferred.

Salary Range :
$81,600.00 / yr. - $101,600.00 / yr., depends on experience
Bonus Potential :
Eligible for 10% annual bonus potential, based on personal and company performance
