Main Duties & Responsibilities
Administrative assistant responsibilities :
- Purchase goods and services according to the companys policies and procedures
- Evaluate vendors based on price, reliability, capability, and previous transaction history
- Set up new vendors in ERP system and updates as needed
- Create POs in ERP system for all locations
- Work with vendors to negotiate volume and cash transaction discounts, and other available discounts
- Ensures that purchasing documents are complete and accurate and include appropriate and reasonable terms and conditions
- Maintains pricing histories and other vendor records
- Assist Operations Support Leader with end of the month close
- Data entry of glass received for all facilities in multiple platforms
- Booking and scheduling appointments
- Facility vendor management : Coordinate repairs to office equipment, facility heating and air, break room machines, ect.
- Maintain and distribute office supplies
- Receiving packages, cross matching to packing slip, entering in ERP system
- Assist in the preparation of regularly scheduled reports
- Research and create presentations
- Handle sensitive information in a confidential manner
- Manage staff appointments
- Conduct data entry for operations support department
- Assist HR with running errands, ordering uniforms, PPE, and other admin related tasks
- Special projects as needed
- Any other reasonable duties as and when requested Administrative assistant qualifications :
- Proven admin or assistant experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Purchasing experience
- Data entry
- Typing 65 WPM
- Proficient in MS Office
- Familiar with using ERP systems / Microsoft Business Central
- At least 5 years of experience in the field or in a related area
