Position Summary

The Project Specialist will assist the Senior Program Manager in a variety of administrative and project support functions.

He / she will be tasked with assisting the Senior Program Manager in integrating the efforts of a several staff members including the Program Director, Associate Directors, and the greater team that comprises the Systems Clinical Comparative Effectiveness Research (CER) unit .

Responsibilities include scheduling calls for Program Staff with external awardees, maintaining scheduling trackers and databases, coordinating special projects and topic theme workgroups, developing project plans and schedules, monitoring project timelines and deliverables, and providing detail-oriented administrative support to Systems CER management.

The incumbent will handle various tasks with attention to detail, solve practical problems, and work with a diverse set of stakeholders to accomplish his / her goals.

Assuring a steady completion of work in a timely and accurate manner is requisite for success in this position. The ideal candidate is resourceful, organized, and a strong problem solver.

Duties and Responsibilities

  • Schedule calls for Systems CER staff with external awardees and potential applicants.
  • Organize and lead monthly Systems CER unit meetings including scheduling, agenda setting, facilitating discussion, keeping meeting minutes, and tracking next steps.
  • Handle and maintain calendars and multiple scheduling demands using Outlook, Zendesk, and other technology tools.
  • Execute assigned tasks / activities including communicating meeting and conference call arrangements, meeting materials, coordinating logistics, etc.
  • Coordinate and manage meetings and track deliverables and timelines for topic theme workgroups.
  • Create and maintain organizational systems for tracking scheduling needs, files, and materials for the team.
  • Provide high-level administrative and logistical support for Advisory Panels and learning networks, as needed.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Support the Senior Program Manager with new or ongoing projects or scheduling needs.
  • Collect appropriate operational data and maintain dashboards for the Systems CER unit.
  • Proactively and creatively seek opportunities to develop and build relationships with internal stakeholders across the organization to identify areas for alignment.

Required Experience

  • Bachelor’s degree required, with demonstrated interest in project management, operations, or non-profit management.
  • Up to two years of experience in a professional setting a plus, including internship and volunteer experience, preferably in project or program management in a nonprofit organization.
  • Demonstrated knowledge, experience, and interest in healthcare research and health policy preferred.

Compensation and Benefits

Salary Range : $56,839 $71,048

The above range represents the salary range expected for the position; however, final offers are based on several factors such as the position’s responsibilities;

the candidate’s experience, education, and skills; location; travel required; and current market conditions.

Subject to the terms and conditions of the applicable plans then in effect, eligible employees may participate in PCORI-sponsored medical, dental, vision, and basic life insurance plans for the employee and the employee’s eligible dependents.
