We are currently seeking a highly-skilled, reliable, and experienced Administrative Assistant to join our dynamic Manufacturing team.
This is a Hybrid role, offering the flexibility of working from both home and office, providing the successful candidate with a balanced work-life environment.
The successful candidate will be integral to our team, assisting with project coordination, meeting minute-taking, acting as a department liaison, and assisting our purchasing team.
Responsibilities :
The Administrative Assistant will play a pivotal role in ensuring the smooth operation of our Manufacturing department. Key responsibilities include :
1. Providing high-level administrative support to the team, including preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, and arranging conference calls.
2. Assisting with project coordination, ensuring all tasks are on track, and communicating with stakeholders about project status and adjustments.
3. Taking accurate and detailed meeting minutes, distributing them to relevant team members, and ensuring follow-up actions are completed in a timely manner.
4. Acting as a department liaison, facilitating communication and coordination across different teams and departments.
5. Assisting our purchasing team, including tracking orders, managing inventory, and liaising with suppliers.
6. Performing additional duties as required, such as organizing and maintaining files, managing databases, and preparing reports.
Qualifications :
The successful candidate must have the following qualifications :
1. A minimum of 5 years of experience in an administrative role, preferably within the Manufacturing industry.
2. Exceptional organizational and project management skills, with a proven ability to manage multiple tasks and adjust to changing priorities.
3. Excellent communication skills, both written and verbal, with the ability to effectively liaise with team members and external stakeholders.
4. Strong minute-taking skills, with a keen eye for detail and accuracy.
5. Experience in a purchasing role or assisting a purchasing team, with a solid understanding of purchasing procedures and best practices.
6. High proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
7. Ability to work effectively in a hybrid role, with the self-motivation and discipline to perform tasks remotely.
8. A proactive, problem-solving mindset, with the ability to anticipate needs and provide solutions.
