JOB SUMMARY :

The Community Outreach & Special Events Assistant assists the President / CEO in planning, producing, supervising, and executing special events, and implementing the community outreach plan for this historic community nonprofit organization.

JOB DUTIES AND RESPONSIBILITIES :

  • Community Outreach :
  • Write first drafts of a variety of content for the organization's newsletters, website copy, brochures, and press releases.
  • Manage media (i.e., radio, tv, internet) content and advertising.
  • Manage email, digital, social media, direct mail, and content marketing campaigns.
  • Photograph and / or videotape program activities and events for use as media content.
  • Maintain the content, design, and utility of the organization's website and social media platforms (i.e., X, Facebook, Instagram, etc.).
  • Maintain inventory of the organization's media equipment (i.e., cameras, lights, teleprompters, podium, etc.)
  • Attend community meetings and serve on external committees, as delegated.
  • Coordinate external and internal production of videotapes and photo shoots.
  • Coordinate execution of press conferences and other promotional events to help keep the organization top of mind.
  • Monitor analytics and create reports detailing the successes and failures of communications campaigns and strategies.
  • Assist in developing and implementing a community outreach strategy designed to further the organization's program and resource development objectives.
  • Assist in conducting outreach to journalists and other members of the press and social media influencers to build strategic partnerships that help grow the organization's brand recognition.
  • Special Events :
  • Write first drafts of marketing materials such as flyers, banners, and social media posts to promote special events.
  • Coordinate volunteers and support staff to support marketing, donor outreach campaigns, and special events.
  • Assist in the planning and execution of special events to support the organization's fundraising and friend-raising goals.
  • Assist in coordinating vendors, sponsors, and stakeholders to ensure smooth execution of special events.
  • Assist in conducting market research to understand target audience and devise effective promotional strategies.
  • Other :
  • Research and write first drafts of position statements on public policy issues related to the organization's mission, programs, projects, services.
  • Write first drafts of speeches and talking points for officers of the Board of Trustees and senior administrators.
  • Write first drafts of meeting minutes and other documents of the Board of Trustees and its policy committees.
  • Process monthly and annual donor acknowledgements for President's signature.
  • Review and edit public facing content drafted by senior administrators, including op-ed and letters to the editor, newsletters and announcements, yearbooks, flyers and banners, social media postings, and / or memoranda.
  • Perform such other related duties as may, from time to time, be assigned.

MINIMUM EDUCATIONAL REQUIREMENT :

Associate degree or higher in communications, marketing, or related discipline.

YEARS OF RELATED WORK EXPERIENCE :

At least 2 years of professional experience in event planning, marketing, public relations, journalism, or related field.

OTHER RELATED REQUIREMENTS :

  • Superior time management and organizational skills and ability to meet deadlines.
  • Analytical mind and ability to think critically.
  • Exceptional writing and interpersonal communication skills.
  • Ability to work both independently and as part of a team.
  • Familiar with MS Word, Excel, Publisher, and PowerPoint, Adobe, WordPress, and Photoshop, and capable of creating visually compelling presentations.
  • Knowledge of email marketing software such as Constant Contact, Mail Chimp, or similar.
  • Proven knowledge of communications and marketing ethics and best practices.
  • Proficient public speaking abilities are an asset.
