The Proposal Writer is a key player driving new business opportunities by creating high-quality proposals, presentations, and marketing materials within company guidelines, all in a fast-paced, deadline-driven environment.

This position will work diligently in a collaborative environment, across all internal departments to gather the necessary information, define the scope of work, and craft the intricate details to ensure the full life cycle of the proposal process.

This will involve assisting with researching active Requests for Proposals (RFPs), Requests for Information (RFIs), and Requests for Quotes (RFQs), as well as showcasing proven technical writing skills in the drafting, editing, formatting, and submitting of proposal responses.

Attention to detail, organization, and the ability to work in a deadline- driven environment are crucial for the success of this position and for overall business development.

This role will require proven skills with writing software including expertise with using Adobe InDesign and other writing software.

You will also be responsible for maintaining project timelines, uploading and updating bid records in Salesforce, and ensuring all proposals are submitted on time prior to set deadline dates.

The ideal candidate will demonstrate excellent technical writing skills and the ability to work effectively at all levels of the organization.

A proactive, detail-oriented approach is essential to ensure the timely delivery of high-quality work that supports business development.

Proposal Writer Responsibilities :

  • Prepare and write comprehensive proposals for turn-key projects that include design, procurement, construction, and commissioning.
  • Collaborate with project managers, engineers, and other stakeholders to gather relevant project information and specifications.
  • Conduct thorough research on industry trends, competitors, and project requirements to enhance proposal quality and competitiveness.
  • Analyze client needs and translate them into actionable proposal elements.
  • Coordinate with various departments, including design, procurement, and construction teams, to ensure proposal alignment with project execution plans.
  • Assist in defining project scopes, timelines, and budgets within proposals.
  • Develop clear, concise, and compelling technical narratives that highlight the companys strengths and capabilities regarding turn-key solutions.
  • Create necessary documentation, appendices, and presentations to support submission requirements.
  • Ensure proposals meet all client specifications and adhere to regulatory and quality standards.
  • Review and edit proposals for clarity, accuracy, and persuasiveness.
  • Participate in pre-proposal meetings and presentations to establish rapport with potential clients and understand their expectations better.
  • Address client inquiries and revise proposals based on feedback received.
  • Gather and analyze feedback on submitted proposals and contribute to the refinement of proposal processes and templates.
  • Stay updated on best practices in proposal writing and changes in the turn-key project landscape.
  • Assist in the preparation of presentation materials for client pitch meetings, ensuring that key messages from the proposal are effectively communicated.
  • All other duties as assigned.

Qualifications :

  • Bachelors degree in Construction Management, Engineering, Business Administration, Communications, or related field.
  • Minimum of 3-5 years of proposal writing experience within the construction or engineering sectors, specifically focusing on turn-key projects.
  • Strong understanding of design-procure-construct-commission processes and related terminology.
  • Exceptional written and verbal communication skills; ability to tailor messages for various audiences.
  • Attention to detail and strong organizational skills to manage multiple proposals simultaneously.
  • Proficiency in proposal software and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work collaboratively in a team-oriented environment and independently under tight deadlines.

Working Conditions :

Exposed to a normal office environment the role may involve sitting for extended periods, utilizing phones, computers, printers, and general office equipment.

En plus de la rdaction, vous effectuerez des recherches sur les tendances du secteur et les concurrents, analyserez les besoins des clients et amliorerez en continu les processus de rdaction de propositions.

Ce rle implique galement de participer aux runions avant la proposition, de soutenir les prsentations aux clients et d'interagir avec les parties prenantes afin d'assurer un processus de soumission de propositions fluide.

Responsabilits gnrales :

Prparer et rdiger des propositions compltes pour des projets cl en main, incluant la conception, l'approvisionnement, la construction et la mise en service.

Collaborate with project managers, engineers, and other stakeholders to gather relevant project information and specifications.

  • Collaborer avec les chefs de projet, les ingnieurs et autres parties prenantes pour recueillir des informations et spcifications pertinentes sur le projet.
  • Mener des recherches approfondies sur les tendances du secteur, les concurrents et les exigences des projets afin d'amliorer la qualit et la comptitivit des propositions.
  • Analyser les besoins des clients et les traduire en lments concrets dans les propositions..
  • Coordonner avec les diffrents dpartements, y compris les quipes de conception, d'approvisionnement et de construction, pour s'assurer que les propositions sont en adquation avec les plans d'excution des projets.
  • Contribuer la dfinition des portes, des dlais et des budgets des projets dans les propositions.
  • Dvelopper des rcits techniques clairs, concis et convaincants qui mettent en avant les forces et capacits de l'entreprise en matire de solutions cl en main
  • Crer la documentation ncessaire, les annexes et les prsentations pour soutenir les exigences de soumission.
  • S'assurer que les propositions respectent toutes les spcifications des clients et sont conformes aux normes rglementaires et de qualit.
  • Revoir et diter les propositions pour en garantir la clart, l'exactitude et la force persuasive.
  • Participer aux runions et prsentations avant la proposition pour tablir une relation avec les clients potentiels et mieux comprendre leurs attentes.
  • Rpondre aux questions des clients et rviser les propositions en fonction des retours reus
  • Recueillir et analyser les retours sur les propositions soumises et contribuer l'amlioration des processus et modles de proposition.
  • Se tenir jour des meilleures pratiques en matire de rdaction de propositions et des volutions du secteur des projets cl en main.
  • Assister la prparation de documents de prsentation pour les runions de prsentation aux clients, en veillant ce que les messages cls de la proposition soient bien communiqus.
  • Effectuer toutes autres tches assignes.

Qualifications :

  • Diplme de baccalaurat en gestion de la construction, ingnierie, administration des affaires, communications ou dans un domaine connexe.
  • Minimum de 3 5 ans d'exprience en rdaction de propositions dans les secteurs de la construction ou de l'ingnierie, en se concentrant spcifiquement sur les projets cl en main.
  • Bonne comprhension des processus de conception-approvisionnement-construction-mise en service et de la terminologie associe.
  • Capacit bilingue parler la fois anglais et franais.
  • Excellentes comptences en communication crite et verbale ; capacit adapter les messages pour diffrents publics.
  • Attention aux dtails et solides comptences organisationnelles pour grer plusieurs propositions simultanment.
  • Matrise des logiciels de proposition et de la suite Microsoft Office (Word, Excel, PowerPoint).
  • Capacit travailler en collaboration dans un environnement orient vers le travail d'quipe et de manire autonome sous des dlais serrs.
