The Student Hire & Payroll Coordinator manages the payroll counter by providing internal and external support to students, faculty, and staff by answering, researching, and resolving questions and problems that come to the front desk.
This position is also responsible for coordinating onboarding process and document / data entry for on-campus student employees into PeopleSoft per CPB weekly schedule.
This includes scanning of related hiring documentation, accurate job data entry, review, and validation of student documents to meet all federal and state hiring and payment requirements.
Telework may be available for this position up to two days per week following the completion of 90 days of service in good standing.
Responsibilities and Duties
Mange the payroll counter by providing internal and external support to students, faculty, and staff by answering, researching, and resolving questions and problems that come to the front desk.
Responsible for coordinating onboarding process and job entry for on-campus student employees based on the TU and State payroll schedules and calendars.
Manage collection, scanning, validation, and accurate data entry of student documents to ensure funding requirements, pay rate information and federal and state hiring requirements are met.
Serve as backup to payroll email and helpdesk by researching problems concerning pay rates, reclassifications, stop payment requests, cancelled checks, W-2 and W-4 forms and address changes.
Backup processing of employment verifications and accident reports.
Assist with improving business operations and day to day processes by evaluating and streamlining current procedures.
Assist NRA Tax Supervisor with maintaining Glacier database, international student employee tax files and annual tax forms / filing requirements, and special projects related to NRA tax compliance, as required.
Provide campus support and engage in campus outreach as needed.
Hire, train, schedule all student desk attendants.
Provide campus support and engage in campus outreach as needed.
Provide support for all payroll phone and email inquiries. Assist with special projects and payroll functions, as required.
Qualifications and Skills
High School Diploma or GED.
Six years of relevant experience in a combination of budgeting, accounting, payroll, purchasing, and personnel / human resources work.
Required-Working knowledge of onboarding processes and basic hiring forms, exposure to federal and state taxes and general understanding of payroll and timesheet processing.
Ability to handle sensitive and confidential matters with discretion and tact.
Must possess strong customer service, communication, and organization skills.
Experience with Excel and document creation software, such as Adobe.
Motivated and able to manage multiple priorities in a deadline driven environment.
Preferred Qualifications
Peoplesoft and ImageNow proficiency.
Experience managing a Service Counter / ability to interview, hire, train and manage student employees.
Familiarity working with foreign national students and scholars; comfortable discussing taxes with faculty, staff, student employees, and other customers.
Understanding of Payroll processes and timesheet submission.
Experience with State of Maryland or higher education employment and hiring.
Except for qualifications established by law, additional related experience, and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
