Human Resources Coordinator / Jr. HR Generalist

We are currently seeking a dedicated and detail-oriented Human Resource Coordinator to join our team. As a Human Resource Coordinator, you will play a crucial role in supporting and facilitating various HR processes across all our business locations.
Your responsibilities will include administering employee health and welfare plans, acting as a liaison between employees and insurance providers, resolving benefits-related issues, and ensuring compliance with federal and state regulations.
Additionally, you will provide essential administrative support to the HR function, including record-keeping, file maintenance, data entry, recruitment, onboarding, and ongoing HR process refinement.
Essential Duties and Responsibilities include the following :
Innovative Recruitment & Employee Retention - Ongoing. Must maintain an excel sheet of recruitment efforts, open job recs.
and candidates currently going through the new hire process.
- Facilitates the new hire onboarding process and updates the new hire packets in accordance with changing laws and company policies.
- Reviews company policies and handbook annually.
- Conducts employee training on an, as needed, basis.
- I-9 Verification; maintain documentation, use E-Verify at the time of hire, and conduct quarterly i9 audits. Maintains an excel list of i9’s that need shreded and their shred date.
Shreds i9’s according to regulations.
- Respond to Unemployment Claims in a timely manner.
- Maintain Time Clock System - Adding new employees and deleting terminated employees.
- Process garnishments for benefits, MCO’s, only per court orders.
- Sets up employee payroll deductions for benefits working closely with payroll as a second set of eyes.
- File all related employee documents in employee files and audit employee files annually.
- Create Employment packets - ongoing.
- Assist in Open Enrollment for Benefits.
- Administer Cobra through Cobra software at time of benefits enrollment or employee termination.
- Assist employees to complete benefits enrollment forms included tracking of required documents at the time of benefits enrollment, benefits changes, and employee termination for the health only 125 cafeteria plan.
- Reconcile benefits invoices monthly, due on or before the 25th of each month.
- Process Enrollments in 401K / Profit Sharing Plans and track beneficiary forms working closely with the company Controller.
- Knowledge of FMLA, ACA Requirements, 1095 ACA reporting and filings, ADA, Federal and NV State leave requirements, a MUST!
- Refine HR process as needed by creating / updating standard operating procedures for the ADA Interactive Process, FMLA administration process, Internal Employee Investigation Process.
- Stay constantly updated on changing federal and State laws as they apply to the HR function and update the company Controller in a timely matter of any changes that will affect the company.
- Create compensation plans and pay ranges / bands on an ongoing basis at the request of the company Controller / President.
- Continue to create and update job descriptions for all positions within the company on an ongoing basis.
- Handle ACA lookback for health insurance semiannually.
- Handle Non-Discrimination testing annually for the health insurance 125 Cafeteria Plan.
- Track compliance of driver files and require documentation that is approaching expiration.
- Knowledge of Department of Transportation regulations, preferred.
- Other duties may be assigned.
COMPUTER SKILLS :
- Proficiency in Microsoft Office software.
- Intermediate to advanced skills in Microsoft Excel (MUST).
- Knowledge of Sage 100 / MAS90 and other Microsoft programs preferred.
CERTIFICATES, LICENSES, & REGISTRATIONS :
- Valid Driver License.
- SHRM CP / HRCI PHI - Preferred.
QUALIFICATIONS :
- 2-3 years of related experience required. Education in lieu of experience will be considered.
- High school diploma or GED required.
- Must be able to work Monday - Friday between 8 : 00am - 5 : 00PM.
- Bilingual - English / Spanish - preferred.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Working understanding of human resource principles, practices, and procedures.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
