Kobe Ichiban Japanese Steakhouse is seeking exceptional candidates to join our Corporate Office and Human Resources team.

The Human Resources Assistant position is responsible for providing administrative support to the Human Resources and Corporate Office departments and assisting with various tasks related to but limited to the critical human resources function of recruitment, office administrative tasks, handling correspondences, problem solving and compliance documentation.

Essential Job Functions :

  • Assist with the recruitment process including job postings, resume / application screening, scheduling interviews, conducting and administering reference / background checks, helping with the onboarding process for new hires and tracking onboarding training.
  • Schedule or administer skill, aptitude, personality, or drug tests for current or prospective employees.
  • Serve as job applicants’ point of contact for inquiries or concerns, forwarding relevant issues to the appropriate HR personnel or manager.
  • Identify qualified job applicants and refer them to hiring managers, when appropriate.
  • Process and review employment applications to evaluate qualifications and / or eligibility.
  • Interview job applicants to obtain and verify information used to screen and evaluate them.
  • Contact job applicants to inform them of the status of their application and next steps in the employment process.
  • Update and maintain job descriptions, handbooks, orientation training material and job postings on all career platforms
  • Produce effective communication with potential employees and existing employees through surveys, newsletters and meeting presentations.
  • Perform searches for qualified job candidates, using sources such as computer databases, networking, internet, digital, and / or social media recruiting resources, media advertisements, job fairs, recruiting firms, or employee referrals.
  • Advise management on organizing, preparing, or implementing recruiting or retention programs.
  • Process, verify, and maintain personnel related documentation using human resources management system software, applicant tracking system software, or other technology, including job postings, applications / resumes, new hire onboarding documentation and employment eligibility documents.
  • Serve as point of contact with external vendors and administrators, such as staffing agencies.
  • Maintain calendars of the HR management team and schedule meetings, HR events, and maintain agendas.
  • Assist with compiling and preparing reports, presentations, and documents pertaining to personnel and employment activities, HR metrics, etc.
  • Maintain basic and current knowledge of Equal Employment Opportunity (EEO) and non-discrimination / non-harassment guidelines and laws.
  • Support the HR department in managing the Human Resources budget, including tracking expenses and ensuring cost-effectiveness.
  • Assist in maintaining and fostering a positive Employee Branding through social media and career pages
  • Assist in maintaining and fostering a positive Employee Engagement through internal initiatives and programs, such as Employee Newsletter, Employee Spotlight, News of the Day, Recognition Programs, Employee Referral, Birthday and Tenure celebrations
  • Organize the Corporate office space such as restocking and distributing supplies, manage the filing system, collect and sort out deliveries and schedule quarterly deep cleanings
  • Assist in handling customer, employee, vendor and business inquiries, providing excellent customer service
  • Perform other related duties as assigned and provide backup coverage for colleagues when necessary.

Qualifications :

Education / Certifications / Experience

  • High school diploma or equivalent, required.
  • At least 1 year of previous experience working as an HR Assistant, HR Coordinator, Recruiter or administrative support role is highly preferred.
  • Certification in Professional in Human Resources (PHR) or Society Human Resources Management Certified Professional (SHRM CP), beneficial.
  • Restaurant experience, particularly in casual or full-service dining, preferred.

Physical Demands :

  • Prolonged periods of sitting at a desk and working on a computer.
  • Access and constantly move about the restaurant on quarry tile, wood, and / or carpeting, both inside and outside (interacting with management and employees, etc.), infrequently.
  • Must be able to lift up to 15 pounds at times.
