Administrative Assistant Bookkeeper
Insight Global is looking for an Administrative Bookkeeper to work for a construction company in Parsippany, New Jersey. This person will support the financial and administrative functions.
The ideal candidate will have experience in accounts payable (AP), accounts receivable (AR), payroll, and AIA billing, with a strong attention to detail and organizational skills.
The Administrative Bookkeeper will be responsible for managing the day-to-day financial operations of the company, including processing invoices, managing payroll, and handling AIA billing.
This role requires a candidate with experience in construction accounting, a high level of accuracy, and the ability to work independently in a fast-paced environment.
Key Responsibilities :
- Accounts Payable (AP) : Process vendor invoices, verify accuracy of charges, and ensure timely payments. Maintain accurate records of all transactions.
- Accounts Receivable (AR) : Prepare and send invoices to clients, track incoming payments, and follow up on outstanding balances.
- Payroll : Process payroll for all employees, ensuring accurate calculations of hours, wages, taxes, and deductions. Handle payroll tax reporting and filings as needed.
- AIA Billing : Prepare and submit AIA G702 / G703 billing documents for construction projects, ensuring accuracy and compliance with contract terms.
- General Ledger : Maintain the general ledger and ensure all financial transactions are recorded accurately. Assist in month-end closing and reconciliation of accounts.
- Job Costing : Assist in tracking and allocating costs to specific construction projects, ensuring accurate financial reporting on job performance.
- Bank Reconciliations : Perform regular reconciliations of bank accounts to ensure accuracy of cash balances.
- Financial Reporting : Generate financial statements, reports, and summaries as needed for management review.
- Compliance : Ensure compliance with state and federal tax regulations, including filing necessary reports and handling sales tax.
- Administrative Support : Assist with general office administrative duties, including answering phones, filing, and maintaining records.
Qualifications :
- 5+ years of experience as a bookkeeper or in a similar role, preferably within the construction industry
- Strong knowledge of accounts payable , accounts receivable , payroll processing , and AIA billing
- Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and Microsoft Office (especially Excel)
- Knowledge of construction project accounting, job costing, and financial reporting
- Ability to work independently and manage multiple priorities
Compensation :
$18 / hr to $25 / hr.
Exact compensation may vary based on several factors, including skills, experience, and education.
Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching.
