Panagora seeks detail-oriented Sr. Specialist of Editorial Supportand Production to support document production for proposals,deliverables, and other corporate materials as needed, in line with corporateand client branding and marking requirements.
The ideal candidate will have demonstratedknowledge of USAID’s work, experience with USAID proposals, USAID branding andmarking requirements, strong organizational and management skills, high attentionto detail, and comfort working in a fast-paced environment.
Responsibilities
Proposals
- In direct collaboration with the newbusiness team, support proposal production needs, including resourcing forediting and formatting and providing input on timelines
- In consultation with proposalmanagers, help ensure proposals meet RFP / RFQ / RFTOP requirements for font size,page limits, and other format requirements, including tracking relevant changesfrom amendments and Q&A
- Support final production of proposals,providing quality control guidance and oversight to ensure formatting andwriting style adhere to Panagora’s guides and RFP requirements
- Continuously improve quality controlprocess and cross-team collaboration
Fielding editorial and communicationsteam requests
- Manage and field company-wide requestsfrom activity management teams (AMTs) and business units for copyediting, formatting,and graphics support (to be fulfilled by comms team)
- Work with those teams to find bestsolutions and guide them on document needs, timelines, and workflow to gethighest quality possible within andbudget available
Managing internal and external resources
- Manage external editing, formatting,and graphic design resources, and work to continuously improve and buildresource pool
- Manage internal resources for formattingneeds on proposals and other written materials, ensuring each product adheres to relevant corporate orUSAID branding and marking requirements
Deliverable production
- Manage master calendar and work with AMTs to better developand implement production timelines
- Provide quality control of activitydeliverables by tracking submissions and providing feedback to teams to ensure508 compliance and proper formatting and editing
- Build internal capacity of activitymanagement teams and activity office staff in writing, editing, and documentproduction
Quality assurance and capacity building
- Be an in-house expert to provideguidance on and field questions about Panagora’s corporate style manual, USAID’sstyle guide, and activity branding and marking plans
- Provide training for AMTs, AOs,proposal formatters, and proposal managers on document production andformatting as needed to improve quality and production planning
Communications collaboration
- As part of communications team,regularly meet with the team to discuss document production trainings,formatting and graphics needs, deliverable tracking, and provide insights onnew business materials
