Responsibilities :
First point contact and performs basic liaison functions with students, faculty, staff, parents, or other department / program constituency : explain policies / procedures, answer various questions, coordinate services / assistance, handle special requests or problems, routing to senior staff members as appropriate.
This includes in-person, phone, and email support.
Oversee and carry out day-to-day departmental clerical / administrative functions, maximizing use of automated systems;
e.g., mail merge, website maintenance, databas e systems, record keeping, order office supplies, etc.
- Willingness and ability to learn new technology and systems ( i.e., StarRez, Workday, etc. )
- Assist with correspondence using Microsoft office and Google Suite products ; e.g., letters, reports, manu als, presentations and the like.
- M aintain appointment and meeting calendars for senior staff and set up meetings. Manage SEAL Conference room calendar.
- Manage the petty cash process for RLE (staff) and SEAL (clubs / orgs), as well as purchasing for clubs / orgs as needed .
- Uses the College’s Event Management system reserve space / media / catering / physical plant / facility needs as required for specific program, events, workshop, and training;
reserve outside transportation as needed; maintain contact with internal and external constituents / vendors related to these goods and services.
- Organize and maintain various departmental files and records for SEAL ; assist in archiving of files.
- Train and oversee the student staff members for RLE Office .
- Perform other specialized or technical administrative tasks and / or special projects related to the department’s primary function.
- All other duties as assigned or directed by the supervisor.
- Occasional weekend / evening responsibilities.

Qualifications :
- Associate's degree in business or other appropriate discipline, plus one to three years of relevant clerical and administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
- Good basic administrative and organizational skills with ability to multi-task and prioritize. Demonstrated initiative in assisting department with admi nistrative functions as needed.
- Attention to detail with experience in organizing and maintaining moderately complex filing and records systems.
- Previous experience working at a college or university desirable.
- A successful candidate will demonstrate a comfort with participating in the institutions mission and identity. Candidates will have strong relationship building skills, a foundation in cultural humility, and experience in building strong relationships with other offices on campus.
Supervision Received :
Supervision is received from Office Directors; guidance and direction may be received from other professional staff members in each office.
