Job Overview :
We are seeking a detail-oriented and proactive Operations Manager to join our small to medium-sized team. As the Operations Manager, you will play a crucial role in driving the efficiency and productivity of the business.
Reporting directly to the Chief Executive Officer (CEO), you will be an integral part of the leadership team. Your primary objective will be to ensure that our operations are efficient, effective and in line with our business strategies and goals.
You will also be expected to maintain the highest level of confidentiality, oversee team management, lead the development and implementation of operational policies and procedures, and set comprehensive goals for performance and growth.
Key Responsibilities
Strategic Planning :
- Develop and implement strategies and initiatives to improve productivity, efficiency and profitability.
- Collaborate with senior management on strategic planning initiatives.
- Ensure departmental goals, processes and resource allocation are aligned with the organizational strategy.
- Create and implement OKRs (Objectives and Key Results) to track and drive team performance.
- Conduct SWOT analyses to identify internal and external factors that may impact business goals.
Team Management :
- Lead, mentor and develop the team to ensure a high-performing and engaged workforce.
- Evaluate team performance by analyzing and overseeing OKRs.
- Cultivate a company culture that encourages top performance and high morale.
- Foster a positive and productive workplace environment.
- Prepare meeting materials and follow up on action items.
- Organize company events, workshops, and team-building activities.
HR Support and Coordination :
- Assist in recruitment processes including recruitment, onboarding, training and employee relations.
- Facilitate the onboarding process for new hires, including orientation and training.
- Maintain employee records and ensure compliance with HR policies and procedures.
- Coordinate and assist with employee engagement activities and events.
Financial Administration :
- Manage budgeting, forecasting, and financial planning.
- Manage payroll and retirement plan (401k).
- Oversee the company’s financial performance, investments and other business ventures.
- Liaise with the CPA.
Communication and Coordination :
- Act as the point of contact for internal and external stakeholders.
- Assist in developing and implementing office policies and procedures.
- Support senior management with various tasks and projects as needed.
Compliance and Risk Management :
- Ensure compliance with local, state and federal laws and regulations.
- Identify and manage company risks.
- Develop and maintain a comprehensive understanding of the industry, market, and competition.
Office Administration :
- Oversee daily office operations and coordinate administrative procedures.
- Manage office supplies inventory and place orders as needed.
- Handle correspondence, complaints and queries.
- Ensure that the office is well-maintained, organized and that equipment is operational.
- Schedule and arrange meetings and appointments.
Qualifications
Education :
Bachelor’s degree in business administration, Management, or a related field preferred or equivalent of years’ experience.
Experience :
- Demonstrable competency in strategic planning and team management and development.
- Proven ability to create and implement OKRs (Objectives and Key Results).
- Some experience in financial management & employee benefits.
Skills :
- Excellent organizational and leadership abilities.
- Strong written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
- Exceptional time management skills and the ability to prioritize tasks.
- High sense of urgency.
