Position Summary
Under the general direction of the Director of Foundation Finance, the Finance Coordinator works collaboratively with other staff to provide reliable contracting, accounts payable functions, financial reporting and office systems support for the department.
This is a temporary project position and expected to end on 06 / 30 / 2025. Extension of the position pending on funding availability.
Pay, Benefits & Work Schedule
Position Salary Range : $27,909.50 / year - $39,073.50 / year
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations.
Typically, new hires start no higher than $30,700.50 / year based on Bellevue College Exempt salary schedule.

About the Department
The Institutional Advancement (IA) Division of Bellevue College works across the full academic enterprise to solidify a multi-faceted culture of brand awareness, philanthropy, and internal and external engagement.
IA supports the College's mission by increasing awareness of, advocacy for, engagement in, and giving to Bellevue College.
As part of the IA division, the Marketing & Communications department is responsible for stewarding the BC brand and driving the college's marketing strategy to increase awareness, support enrollment, and drive community engagement.
Essential Functions
Accounts Payable
- Work with both the Contract and Finance offices to create and submit purchase orders and track order balances
- Code purchase orders and expenditures with ctcLink chart strings
- Receive invoices, route for approval and track for payment
- Resolve problems related to accounts payable
- Process invoices for payment by entering them accurately into the ctcLink system
- Monitors and analyzes available budget authorizations, encumbrances, and balances, reporting any discrepancies to the supervisor
- Prepares budget transfer requests in ctcLink
- Supports development of funding requests with spending analysis
Contract Support
- Draft contracts using College-approved templates
- Coordinate with Contracts Office for contract approvals and assignment of contract numbers
- Prepare, route, and track contracts for vendor signature
- Collect vendor forms, W-9 and other necessary paperwork
- Request vendor additions to the ctcLink list of suppliers
- Prepare, route and track Contract Signature Authorization forms
- Serve as departmental liaison with the Contracts Office and Purchasing Department
Divisional Support
- Develop protocols and maintain a filing system for department financial records with guidance from the Director of Foundation Finance
- Enter department personnel travel and reimbursement requests in ctcLink for other employees in the department
- Provide support for department activities and events
- Perform other duties as assigned
Minimum Qualifications
- Associates degree in relevant field. Any combination of relevant education and / or experience may be substituted for the educational requirement on a year-for-year basis.
- Minimum two (2) years experience evaluating and assessing financial data
- Minimum two (2) years experience with creation and tracking of contracts, budgets, process purchase and travel documentation
- Advanced in Microsoft Office including Word processing, Outlook, Excel
- Effective verbal and written, and interpersonal communication skills while providing excellent customer service
- Effective organizational skills with the ability to work independently
- Demonstrated experience working with diverse colleagues and / or students in a collaborative and inclusive environment
Preferred Qualifications
- Bachelor’s degree in relevant field
- Experience in higher education
- Experience with the Washington State Board of Community and Technical Colleges’ ctcLink system
- Experience with Oracle Peoplesoft
