Job Overview : The Lead Surgery Scheduler is responsible for overseeing the surgical scheduling process, ensuring efficient operation and optimal use of resources.
This role involves leading the scheduling team, coordinating complex scheduling scenarios, and providing comprehensive support to patients and healthcare providers.
The Lead Surgery Scheduler ensures adherence to clinical and regulatory standards, playing a critical role in patient care and departmental workflow.

Schedule / Type : FT - onsite / hourly M F 8am-4pm
Wage : $22-32 / hr, commensurate with experience
Bonus Eligibility : Yes (Profit Sharing Eligibility)
Requirements
Essential Duties
- Provides guidance, feedback, and training to surgery schedulers to ensure accurate and timely scheduling of procedures.
- Manages scheduling for office, outpatient, and hospital-based surgeries, tests, and imaging, ensuring optimal use of time and resources.
- Communicates with patients to provide detailed information on test preparations, procedure requirements, and follow-up instructions.
- Confirms patient insurance coverage, obtain prior authorizations, and ensure all necessary documentation is completed.
- Maintains detailed and confidential records, ensuring compliance with HIPAA standards and proper documentation of patient information.
- Utilizes and train staff on various scheduling and case management software, ensuring proficiency in medical coding (ICD, CPT).
- Engages in quality improvement projects within the business office and support the office in the absence of management.
- Collaborates closely with surgeons, anesthesiologists, and nursing staff to resolve scheduling conflicts and ensure smooth operations.
- Provides exceptional customer service to patients, families, and healthcare professionals, addressing concerns and inquiries promptly.
Requirements :
- High School Diploma or general equivalency diploma (GED)
- Medical assistant diploma or certification from an accredited vocational institution or a community college course in medical assisting (preferred)
- Experience in surgical scheduling a minimum of 2 years (required) scheduling in an ASC environment (preferred)
- Experience with educating, training surgery schedulers (preferred) /
- Familiarity with Athena EMR system is a plus
- Knowledge of medical terminology including surgical procedures and terminology is required.
- Computer literate : Word, Excel, Windows
Work Environment : Combination of medical office and exam / procedure room settings. Well-lighted, well-ventilated, adequate space.
Equipment Operated : Standard medical exam / office equipment including computerized health information management system for medical records.
Physical Requirements : Must be able to use appropriate body mechanics techniques when making necessary patient transfers and helping patients with walking, dressing, etc.
Must be able to lift up to 30 pounds of supplies. Occasional stress from dealing with many staff and patients.
