The Role

The Project Controls Administrator role is an integral supportive function that reports to the BIS Director Core Projects.

This role is responsible for supporting the team through assisting with the Project Management Office functions and project portfolio tasks.

The role also involves managing the reporting of project data a fundamental role in managing the health of the project portfolio.

The Project Controls Administrator will also assist in facilitating needs between team members, executives, and external parties such as suppliers, and customers.

Points of responsibility include :

• Assist in creation and management of documentation for processes and procedures
• Maintain and monitor progress tracking within a project
• Support Director with correspondence
• Provide administrative support to project teams, including document management, meeting coordination, and communication.
• Special Projects
• Ability to effectively record and maintain detailed notes during meetings, discussions, and other relevant interactions.
• Facilitate team functions
• Communicate effectively with project team members and other relevant parties. This includes defining communication protocols, assisting in project meetings when necessary, and providing timely updates on project data.
• Other duties as assigned

Required Skills / Qualifications

• Minimum 5 years of relevant experience
• Proven experience in project controls, project management, or related roles.
• Proficiency in project management software such as Microsoft Project, Excel, Word, or similar tools.
• Strong analytical skills with the ability to interpret and present complex data effectively.
• Excellent organizational skills and attention to detail.
• Effective communication and interpersonal skills, with the ability to collaborate with diverse teams.
• Demonstratable ability to politely but persistently follow up
• Excellent organization and time management skills
• Ability to rapidly resolve issues and recognize when to escalate
• Operate with a speed of urgency
• Ability to manage multiple priorities in a fast-paced environment
• Ability to keep calm and cool in a crisis
• Master of planning your day and prioritizing daily task lists
• Excellent verbal and written communication skill
• Bachelor's Degree
• MS Office skills, including Outlook, Excel, Powerpoint, Word, Sharepoint
• Typing speed in excess of 50 WPM

Physical Requirements :

• Open Floor Plan office with highly levels of collaboration without private offices
• Standard M-F Office Hours
